THE ROLE
Our client is a well-established, full-service law firm with offices in Vancouver and Surrey and over 150 years of history in British Columbia. We are currently looking for a detail-oriented Corporate Services Clerk / Legal Administrative Assistant to join the Surrey office. This position will support the Corporate Services team with corporate filings, annual maintenance, document preparation, and corporate records management.
This is an excellent opportunity for someone with corporate legal administrative experience who enjoys working in a collaborative environment and managing a variety of corporate matters.
Key Responsibilities
- Prepare and file annual reports, corporate registry filings, and other routine corporate documents.
- Assist with incorporations, registrations, name changes, dissolutions, and corporate amendments.
- Maintain and update corporate minute books, registers, and electronic corporate records.
- Prepare corporate resolutions, directors' and shareholders' documentation, and other corporate maintenance materials.
- Monitor annual maintenance deadlines and coordinate reminders and filings for corporate clients.
- Conduct corporate searches and obtain records through BC Registries and other applicable registries.
- Assist corporate paralegals and lawyers with document preparation, file organization, and administrative tasks.
- Open and close files, maintain accurate client records, and manage incoming correspondence.
- Communicate with clients, government registries, and internal team members to obtain information and coordinate documentation.
- Provide general administrative support to ensure the efficient operation of the Corporate Services department.
Qualifications & Experience
- Previous experience in a corporate legal administrative, corporate services clerk, or Legal Assistant role.
- Completion of a Legal Administrative Assistant program or equivalent experience is preferred.
- Familiarity with BC corporate filings, annual maintenance, and corporate minute books.
- Experience using BC Registries and corporate records management software is an asset.
- Strong attention to detail and ability to manage multiple files and deadlines.
- Proficiency in Microsoft Office, including Word, Outlook, and Excel.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team environment.
- Strong organizational skills and a proactive approach to managing responsibilities.
