Location: Irvine, CA/ hybrid schedule (remote Fridays)


Compensation: $75K+ base salary + benefits



Overview:


Our client is a comprehensive wealth management and insurance planning firm dedicated to helping clients “Get the most out of life.” The team delivers integrated financial planning that spans private businesses, real estate, insurance, tax strategy, cash flow planning, and long-term wealth implementation.


The Insurance Operations Associate plays a critical role in supporting new policy acquisition and delivering exceptional ongoing insurance service. This position works closely with underwriting, onboarding, planning, and operations teams to ensure seamless implementation, compliance, and high-touch client support.



Primary Responsibilities:


New Policy Acquisition & Underwriting Support:


• Act as liaison for underwriting requirements and expedite processes, including coordinating with attending physicians for medical records

• Monitor Daily Status Reports (DSR) and proactively address outstanding items

• Prepare policies for delivery and ensure proper documentation storage per retention guidelines

• Input and maintain accurate client data in CRM

• Partner with onboarding team to prepare application documents, coordinate medical exams, and align billing accounts

• Review applications for completeness and accuracy prior to carrier submission

• Serve as backup support for submission and documentation workflows as needed



Insurance Client Service & Policy Maintenance:


• Process policy changes including address updates, beneficiary changes, bank changes, loan requests, and other servicing items

• Manage billing and Insurance Service Accounts (ISAs)

• Monitor ISA Termination Reports and take appropriate action

• Coordinate insurance claims for insured individuals and beneficiaries

• Coordinate with third-party lenders to establish and service cash-value lines of credit



Operational Excellence & Compliance:


• Collaborate with leadership to solve complex client service issues

• Develop strong understanding of firm insurance operations and pilot new programs

• Ensure compliance with firm standards and workflows

• Leverage new insurance initiatives effectively

• Complete annual split-dollar calculations and deliver required client documentation

• Maintain accurate and up-to-date CRM Opportunities and Tasks

• Coordinate with investment operations, service advisors, and other team members to ensure seamless onboarding and plan implementation



Qualifications:


• CA Life, Accident & Health License required

• 3+ years of industry experience

• Clean compliance history

• Strong written and verbal communication skills

• High attention to detail and accuracy

• Ability to simplify complex insurance and financial concepts

• Proficient in CRM systems, Microsoft Office (Word, Excel, Outlook), and Adobe Acrobat

• Process-oriented with ability to document and streamline workflows

• Professional presence and ability to represent the firm’s brand publicly

• Collaborative team mindset
