Marketing Associate / Administrative Assistant
Location: Coral Gables, FL (In-office)
Salary: $60,000 – $80,000 | Full-Time
About the Role
Our client is seeking a proactive and detail-oriented Marketing Associate / Administrative Assistant to support their advisory team in driving new business opportunities, deepening client relationships, and executing marketing initiatives. This is a unique hybrid role blending client outreach, marketing coordination, and administrative support. Key Responsibilities
Business Development Support
- Build call lists from prospecting, events, referrals, and research within our target market.
- Drive 10 new meetings per week with brand-new prospects.
- Track and call new referrals to book initial meetings.
- Engage existing clients for introductions, family connections, and personal referrals.
- Schedule annual client reviews and ensure ongoing “touchpoints” for advisory clients.
Marketing Execution:
- Support implementation of the firm’s marketing plan, including direct prospecting meetings, networking lunches, event planning, sponsorships, and joint work partnerships.
- Coordinate birthday gifts, event logistics, and other client engagement touchpoints.
- Maintain branding across marketing materials, decks, website, and sponsorships.
Client & Case Management:
- Manage and update the Open Case Log to ensure timely follow-up.
- Conduct follow-up calls to keep prospects and clients engaged.
- Maintain and segment advisory client lists, ensuring each client has a clear next step and a relationship manager assigned.
Administrative & Calendar Support:
- Manage and optimize both Lead Advisors’ calendars.
- Confirm appointments the day before and proactively ensure calendars are consistently full.
- Anticipate scheduling needs to maximize advisor productivity.
Qualifications:
- 2–5 years of experience in marketing, client services, or administrative support (financial services experience preferred).
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills; comfortable with outbound calls.
- Proficiency in Microsoft Office; CRM experience is a plus.
- Proactive, resourceful, and detail-oriented, with a team-first mentality.
Compensation:
- Base Salary: $60,000 – $80,000 (commensurate with experience)
- Performance-based incentives available
