Compensation: $105,000 – $120,000 base salary + benefits

This hire will play a central role in keeping client service, investment operations, and alternative investment workflows running smoothly and accurately.



The Opportunity:


This is an ideal role for a detail-oriented, experienced wealth management professional who enjoys owning processes from start to finish.

A significant portion of the position is focused on alternative investments, making it a strong fit for someone who thrives in complex, deadline-driven environments and takes pride in precision, follow-through, and accountability.

You will be a key partner to advisors and clients, ensuring that accounts, reporting, and service workflows are executed at a high level.



Key Responsibilities:


Alternative Investment Operations:


  • Coordinate subscriptions, funding, redemptions, and ongoing servicing
  • Track capital calls, deadlines, and required documentation
  • Support exchange fund activity (including 1031 and 351 transactions)
  • Maintain internal tracking to ensure requests move forward efficiently
  • Assist with K-1 distribution and related client communication
  • Manage alternative investment inboxes and communication flow
  • Keep reporting systems updated with investment status and commentary


Custodian & Account Management:


  • Open and maintain accounts across custodians (Schwab, Fidelity, etc.)
  • Support householding and account maintenance
  • Handle service requests, paperwork processing, and follow-ups
  • Maintain current DocuSign templates and custodian forms


Systems & Data Integrity:


  • Maintain account and portfolio accuracy in Black Diamond
  • Update benchmarks, fee schedules, naming conventions, and classifications
  • Support integrations across CRM, eMoney, and Nitrogen
  • Resolve duplicates, outdated records, and data inconsistencies
  • Ensure systems are client-ready and operationally accurate


Client Service & Ongoing Relationship Support:


  • Conduct 30-day onboarding check-ins
  • Coordinate annual client information reviews
  • Assist clients with custodian portals and reporting access
  • Maintain accurate beneficiary documentation


Projects & Firmwide Support:


  • Contribute to operational improvement initiatives
  • Document processes and meeting notes within the CRM
  • Provide administrative backup support when needed
  • Maintain internal contact lists and communication tools


Qualifications:


  • 5–8 years of experience in wealth management operations or client service
  • Strong familiarity with alternative investment workflows (preferred)
  • Experience working with custodians and multiple advisory platforms
  • High attention to detail and strong deadline management
  • Ability to work independently and take ownership of processes
  • Strong written and verbal communication skills
  • Flexible and solutions-oriented in a fast-moving environment
