Head of Platform – Workflow & Automation
We are partnering with a growing organization to identify a Head of Platform – Workflow & Automation who will lead the strategy and evolution of a company-wide work management and automation platform.
This is a highly visible role for someone who enjoys improving how work actually gets done. You will partner across operations, account teams, technology, and leadership to simplify complex processes, introduce scalable workflow standards, and drive adoption of modern work management and automation tools.
The ideal candidate brings a strong product mindset, deep business process experience, and enough hands-on platform knowledge to move comfortably between strategy, workflow design, configuration, governance, and change leadership.
What You'll Own
Workflow Strategy & Platform Roadmap
- Define the long-term vision, roadmap, operating model, business case, and success measures for enterprise workflow and work management.
- Identify the highest-value opportunities to improve and automate operational processes across the business.
- Translate business needs into scalable platform capabilities, workflow standards, and prioritized enhancements.
- Manage the platform backlog using a product-management approach, balancing user value, business impact, effort, risk, and adoption.
- Continuously evaluate how the platform should evolve as business needs and technology capabilities change.
Business Process Design
- Lead process-discovery sessions with operational leaders and end users to understand how work is performed today.
- Map current-state processes, identify bottlenecks, duplicated effort, unclear ownership, and unnecessary handoffs.
- Design simpler, standardized future-state workflows that improve speed, visibility, accountability, and user experience.
- Establish common design principles across:
- Requests and intake
- Tasks and assignments
- Roles and ownership
- Statuses and approvals
- Templates
- Notifications
- Dashboards and reporting
- Escalation paths
Platform Ownership & Automation
- Lead the selection, implementation, configuration, and ongoing optimization of an enterprise work-management platform.
- Own platform design decisions and ensure workflows remain scalable and consistent across teams.
- Define requirements for integrations with tools across the Microsoft ecosystem and other enterprise systems.
- Develop automation use cases that connect forms, email, documents, approvals, alerts, and operational workflows.
- Partner with technology teams to ensure integrations and automation are reliable, supportable, and appropriately governed.
Governance & Enterprise Standards
- Establish platform governance covering workspaces, templates, integrations, automations, reporting, and AI-enabled workflows.
- Define approval processes and guardrails around who can build, modify, or deploy platform capabilities.
- Partner with IT and security on access controls, identity, approved connectors, data handling, and support models.
- Ensure workflows and automation align with enterprise security, privacy, and data-management standards.
Adoption & Change Leadership
- Lead pilots, gather user feedback, refine solutions, and scale successful workflows across the organization.
- Develop adoption programs including training, office hours, communications, onboarding materials, champions, and job aids.
- Monitor usage and identify areas where additional enablement or process changes are needed.
- Influence teams through change, including situations where direct authority may be limited.
Performance & Continuous Improvement
- Define and track meaningful platform and process KPIs.
- Measure areas such as:
- User adoption and active usage
- Workflow cycle time
- SLA performance
- Overdue work
- Rework
- Automation volume
- User satisfaction
- Use platform and process data to identify delays, capacity constraints, adoption issues, and opportunities for further improvement.
- Support vendor management, including licensing, product roadmap awareness, platform limitations, and escalations.
What We're Looking For
- Strong experience owning workflow, automation, business systems, or enterprise work-management platforms.
- A product-management mindset with experience in roadmap development, user discovery, prioritization, backlog management, and iterative delivery.
- Deep understanding of business process management, including process mapping, service design, workflow redesign, controls, handoffs, role clarity, and continuous improvement.
- Experience working in operationally complex or services-oriented environments where work moves across multiple teams and functions.
- Hands-on experience designing, administering, or configuring platforms such as monday.com, Asana, Adobe Workfront, or comparable enterprise work-management tools.
- Practical understanding of Microsoft 365, including Teams, SharePoint, Outlook, Excel, identity/access concepts, and document-management practices.
- Experience with Power Automate, including triggers, actions, connectors, approvals, monitoring, ownership, and error handling.
- Familiarity with Power Platform governance and enterprise automation standards.
- Understanding of AI-enabled productivity tools such as Microsoft Copilot, including appropriate use cases, approved data access, human review, privacy considerations, and limitations.
- Strong facilitation and stakeholder-management skills across executives, operational leaders, end users, technology teams, and external vendors.
- Ability to communicate clearly, lead organizational change, and build support across teams.
- Strong analytical skills with the ability to use process and platform data to identify problems and improve performance.
