JOB DESCRIPTION


  • The Client Onboarding Specialist plays a key role in supporting the Sales and Operations teams by ensuring every new project begins smoothly and efficiently. This role is responsible for coordinating new jobs, managing client communication, processing paperwork, and maintaining accurate information across multiple internal systems. The Specialist acts as a central point of contact between Sales, Production, and Accounting, ensuring compliance, timely workflow, and an outstanding customer experience from contract to project start. This is a fully onsite role that requires strong communication skills, attention to detail, and the ability to work collaboratively in a fast-paced, team-oriented environment.



ESSENTIAL JOB FUNCTIONS


  • Coordinate new projects and support the Sales Team to ensure contracts move forward correctly and on time.
  • Coordinate new jobs from start to finish, acting as the “glue” that keeps operations aligned across Sales, Production, and Accounting.
  • Maintain accurate records and keep all internal systems updated, including CRM and quoting software.
  • Communicate with customers throughout the onboarding process and provide exceptional service.
  • Ensure all contracts meet compliance guidelines and company standards.
  • Assist Production with preparing new projects for scheduling and installation.
  • Support Accounting and AR processes as needed.
  • Ensure paperwork is completed accurately and submitted on time.
  • Conduct customer satisfaction calls and send final invoices once projects are completed.
  • Collaborate with all departments to support seamless workflow and successful project launches.
  • Participate in comprehensive cross-department training to gain a full understanding of company operations from start to finish.



REQUIREMENTS


Must-Haves:


  • 1+ year of experience in a customer service or client-facing role.
  • Strong communication skills with a friendly, professional approach.
  • Highly organized, detail-oriented, and dependable.
  • Tech-savvy with strong computer and CRM navigation skills.
  • Team player who thrives in collaborative environments.
  • Self-starter with strong problem-solving abilities.
  • Comfortable interacting with customers.


Nice to Have:


  • Experience with Salesforce.
  • Ability to accept and apply constructive feedback.



EDUCATION


  • High School Diploma required.



COMPENSATION PACKAGE


  • Hourly rate: $18 - $20 per hour.



WORKING CONDITIONS


  • Location: Fairfax, VA.
  • Schedule: Fully onsite, Monday–Friday, 9:00 AM to 5:00 PM.
  • Candidates must live within 30 minutes of the office (Sterling, Centreville, Vienna, etc.).
