We are seeking an experienced Project Manager l to be the day-to-day representative of the firm for assigned projects. Responsible for the overall direction, completion and financial
outcome of assigned projects. Directs and supervises activities related to project management, contract administration, communications, project team building, project budget and schedule development and maintenance, as required to ensure successful outcome of projects, completed in a quality, timely and profitable manner.
Key Responsibilities
Administrative Support
- Manage project schedules, meeting agendas/minutes, documents, and file organization.
- Monitor project email communication and distribute correspondence.
- Prepare and distribute monthly project reports.
- Coordinate project meetings, travel arrangements, and related logistics.
- Maintain confidentiality of sensitive information.
- Oversee project security badging and access key logs.
Project Initiation & Administration
- Set up project management systems, templates, and directories.
- Assist with proposals, presentations, and consultant solicitations.
- Attend meetings and prepare agendas, minutes, and client-requested documents.
- Support compliance with client contracts and scope of services.
Client & Team Relations
- Build strong working relationships with clients, design teams, and internal partners.
- Represent the team professionally at meetings and industry events.
- Support training and onboarding of new team members.
Specific tasks included for assisting the Project Manager, Senior Project Manager or Project Executive in the execution of services include:
- Develop and maintain program budget
- Develop and maintain program schedule
- Manage Purchase Orders creation and tracking
- Manage consultant contracting
- Manage general contractor contracting
- Change Order review and recommendations
- Change Order approval (with Senior Project Manager approval)
- Manages and maintains Change Order log (GC and consultants)
- Prepares Weekly Construction Reports
- Assists in preparing Monthly Executive Report
- Project design and construction meeting facilitation and reporting
- Action Item tracking and resolution
- Pay App review and approval (with Senior Project Manager approval)
- Participate and provide information for Client Leadership Meetings
- Track and manage FF&E process
- Participation in OAC meetings
- Participates and manages design process (Programming, Schematic Design, Design Development and Construction Documents phases)
- Participates in management of contractor bidding and negotiations
- Participates in design and construction peer reviews
- Participates and manages QA/QC process
- Participates, manages and reports regularly on project schedule
- Participates in weekly jobsite walks to review document adherence, quality and schedule
- Participates and manages activation/move-in activities
Requirements
- Must have healthcare project experience
- B.S. in Architecture, Engineering or Construction Management, or related field preferred with 5+ years of experience in related industry. Or 10 years experience in related industry, including project management, architecture, engineering or construction.
- Strong leadership skills with ability and willingness to face challenges, solve problems, and motivate others, while maintaining effective relationships with Clients by exceeding their requirements and expectations.
- Supervises and develops direct reports while prioritizing and delegating significant responsibilities to others.
- Manages essential functions effectively by consistently driving for quality, timely and profitable results on assigned projects.
- Communicates well and creates effective Client-focused relationship at all organizational levels.
- Able to write clearly and concisely in a variety of communication settings and styles.

- Strong computer skills in word processing, spreadsheet, scanning, database and presentation software.
- Demonstrates proficiency using computers, tablets and company communication tools, such as email, Internet, and software applications (e.g., Mac operating system, Microsoft Word, Excel, Office, Outlook).
