Our client is a Houston-based project management firm, specializing in healthcare, higher education, energy, research and mission critical. They have the desire to make a difference in the world of project management and have been a driving force in the A/E/C industry!


We are seeking an experienced Project Coordinator that will supports the Project Team by managing documentation, organization, and day-to-day administrative functions. This role ensures smooth communication, accurate record-keeping, and efficient coordination across all phases of a project.


Key Responsibilities


Administrative Support

  • Manage project schedules, meeting agendas/minutes, documents, and file organization.
  • Monitor project email communication and distribute correspondence.
  • Prepare and distribute monthly project reports.
  • Coordinate project meetings, travel arrangements, and related logistics.
  • Maintain confidentiality of sensitive information.
  • Oversee project security badging and access key logs.


Project Initiation & Administration

  • Set up project management systems, templates, and directories.
  • Assist with proposals, presentations, and consultant solicitations.
  • Attend meetings and prepare agendas, minutes, and client-requested documents.
  • Support compliance with client contracts and scope of services.


Client & Team Relations

  • Build strong working relationships with clients, design teams, and internal partners.
  • Represent the team professionally at meetings and industry events.
  • Support training and onboarding of new team members.


Requirements

  • Bachelor’s degree in Business, Administration, or related field and at least 4 years of related industry experience; or 8 years of industry experience (project management, architecture, engineering, or construction).
  • Ability to anticipate the Project Manager’s needs, make decisions, and resolve issues in their absence.
  • Strong time-management skills with the ability to prioritize, multitask, and support multiple team members.
  • Excellent communication skills, with the ability to build effective, client-focused relationships at all organizational levels.
  • Clear and concise writing skills across various communication formats.
  • Adaptable and able to learn quickly when facing new tasks or challenges.
  • Strong organizational skills and ability to manage multiple activities to meet project deadlines.
  • Capable of making sound decisions under tight timelines, occasionally with incomplete information.
  • Committed to quality improvement and meeting client expectations.
  • High level of integrity and alignment with organizational values and client objectives.
  • Proficient with computer technology, including word processing, spreadsheets, databases, scanning, and presentation software. Skilled in common communication tools (email, cloud platforms) and operating systems (e.g., Mac OS, Microsoft Word, Excel, Outlook).
