We are seeking a Sales Coordinator to support the end-to-end sales and delivery process for custom-built commercial fleet vehicles. This role plays a critical part in responding to bids and RFPs, supporting pre-sales activities, and managing the administrative and coordination work once contracts are awarded. This is a highly collaborative, detail-driven role that sits at the intersection of sales, operations, manufacturing partners, and customers.
Key Responsibilities:
• Respond to bids, tenders, RFIs, and RFPs for commercial and municipal vehicle contracts
• Support the pre-sales process by reviewing specifications, confirming product suitability, and coordinating internal input during the bid stage
• Manage administrative activities once a contract is awarded, including purchase orders, documentation, and internal handoffs
• Coordinate custom vehicle builds based on contract specifications and customer business needs, including accessibility and wheelchair configurations
• Act as the central point of coordination between sales, customers, and vehicle builders throughout the build-to-delivery process
• Support changes or updates to build specifications after purchase orders are received, ensuring alignment with contracts
• Track timelines, approvals, and deliverables to ensure vehicles are delivered according to contract terms
• Maintain accurate records related to bids, contracts, orders, and customer communications
• Participate in occasional travel to vehicle builders in the USA
• Support virtual customer meetings as needed alongside the sales team
• Assist with a small volume of RFIs or ad-hoc bid-related requests as they arise
Travel
• Approximately 5 to 10 percent travel
• Travel is expected during the first three months for onboarding and to learn the manufacturing and build process
• Ongoing travel may support stronger collaboration with vehicle builders and internal teams
What We’re Looking For:
• 3 to 7+ years of experience in sales coordination, inside sales, bid support, or contract administration role
• Demonstrated experience responding to RFPs, tenders, or government procurement processes
• Experience supporting custom or made-to-order products, ideally in fleet, commercial vehicles, transportation, or heavy equipment
• Strong attention to detail with the ability to manage multiple projects simultaneously
• Comfortable working within structured procurement and compliance frameworks
