Administrative Specialist

📍 Chandler, AZ (On-Site Position)


The Administrative Specialist is responsible for supporting daily operations, working primarily with the Marketing and Sales department, ensuring efficient workflow and consistent communication within the company. This role involves lead management, system updates, new hire coordination, webinar setup, and general administrative support. The ideal candidate is detail-oriented, organized, and able to balance multiple priorities while supporting both internal teams and external-facing initiatives. Candidates must also be comfortable being on camera, as we may use them for marketing posts and social media content.

Key Responsibilities

Lead & Data Management

  • Answer and route inbound calls; assign, upload, and categorize leads in OptifiNow.
  • Distribute leads to Account Executives and issue daily lead reports.
  • Maintain data integrity by updating records, processing unsubscribes/re-subscribes, and merging accounts.

Employee Onboarding & Support

  • Collect new hire documentation and ensure accurate system entry.
  • Coordinate headshots and create professional portraits for email signatures.
  • Manage and update company-wide signature templates and employee record spreadsheets.

Event & Webinar Coordination

  • Coordinate webinars with AEs, including registration pages, practice runs, and day-of support.
  • Support Oaktree team events, activities, and videos.
  • Assist with the setup, recording, and occasional participation in social media videos.

Administrative Support

  • Manage updates to Linktree and other internal tools.
  • Order business cards; manage apparel order templates.
  • Oversee storage organization and reservation systems.
  • Provide audit support in collaboration with leadership.
  • Participate in social media and company videos as needed.

Qualifications

  • **Comfortable being on camera to participate in social media content.
  • Proficiency with Microsoft Office, CRM/lead management, recording videos and GoToWebinar.
  • Professionalism, discretion, and adaptability across diverse responsibilities.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
