Summary:

The Site Administrator reports to the Human Resources Manager, and the primary role is to provide clerical and administrative support to the Human Resources team, Contracts and Site Services Lead and Site Management Team and other personnel as required, as it relates to functional and operational office activities. You will be required to actively contribute towards achieving the Company’s vision by demonstrating a clear commitment to the following values:


SPECIFIC DUTIES & RESPONSIBILITIES

Safety Requirements

▪Operate in accordance with Company’s Stakeholder Policy.


Specific Departmental Requirements

▪Provide specific assistance to the General Manager, Human Resources Manager and Contracts and Site Services Lead and/or their delegate.

▪Provide general clerical and administrative service to other management team members.

▪Process travel and accommodation bookings for employees existing and new, contractors and onsite visitors including schedule changes and travel modifications.

▪Perform office duties including the updating of internal phone listing, distribution of mail and freight, office purchasing requirements, site communications, purchasing and regular reports.

▪Coordinate onsite meetings, activities and community events as requested, which includes planning and execution of events.

▪Ensure the weekly motorcoach and shuttle transportation requirements are ordered for employees, which includes meeting and greeting and the coordination and communication of any issues that may arise with the transportation.

▪Maintain accurate room-splits sheets are maintained and address and record any issues that may arise with room assignments and/or accommodations both internally and with Vendor.

▪Ensure all site access requirements are adhered to, and the maintenance of relevant records.

▪Coordinate evacuation lists with departments.

▪Ensure employee & contractor records are maintained to comply with permit/legislative requirements. Update, audit and report accurate data to and from INX.

▪Liaise with Human Resources Department for the collation and submission of payroll information such as leave forms and other pertinent information

▪Prepare employment documentation including contracts, variations, letters, and confirmations.

▪Maintain accurate and confidential employee records in HRIS and personnel files.

▪Coordinate recruitment administration including interview scheduling, pre-employment checks, and onboarding logistics.

▪Prepare and issue employment offer documentation and preparation and onboarding of new employees prior to their first day of employment.

▪Act as a first point of contact for routine HR queries, providing accurate and professional advice.

▪Escalate complex employee relations matters to HR Advisors and/or the Human Resources Manager.

▪Support HR initiatives, training coordination, and internal communications.

▪Produce routine HR reports and data extracts for management which includes the compilation of the General Managers Monthly Report.

Ensure that any roster changes including temporary or permanent are communicated to the Contract and Site Services Lead and Human Resources Manager to ensure that all systems are updated including any Variations to employees' contracts.

▪Act as the central supply point for all social club swag which includes selling, inventory management and timely submission of payroll deduction forms.

▪Maintain and update organizational chart and transition roster.

▪Ensure all office equipment and appliances are working correctly and request/schedule any maintenance or repairs, as necessary.

▪Coordinate all Site Service maintenance work orders as needed and com

▪Manage shared spaces in the Administration building including the copy room, kitchen. Request service as needed.

▪Produce regular administration and support the development, review and consolidation of internal corporate documents including the biweekly site update, monthly site report, as needed.

▪Requisition, verify, and process payment requests for vendors and contractors in Pronto for human resources and site services departments

▪Ensure all safety related activities are undertaken in accordance with Company policy and MSHA requirements including Hazard IDs, pre-start checks, pre-start meetings, and incident reporting.

▪Maintain a high standard of housekeeping in all work areas.

▪Other duties as required.


KEY ROLE QUALIFICATIONS & EXPERIENCE REQUIRED

Qualifications Required

▪Certificate or Diploma, Human Resources, Business Administration, or a related discipline (or equivalent experience).

▪Current USA Driver’s License.


Desired Experience & Competencies

▪Previous administration experience in the resources sector, preferably on a remote site.

▪A good understanding of office processes, systems and equipment.

▪Excellent interpersonal, verbal and written communication skills.

▪Strong attention to detail and accuracy.

▪High level of confidentiality and professionalism.

▪Experience with document editing (grammar, formatting) and graphics production (visual aids, posters, notices)

▪Advanced computer literacy – Microsoft Office, database systems including INX, Pronto etc.

▪Knowledge of statutory safety and environmental requirements relevant to mine site operations.

▪Ability to identify, address and overcome challenges and roadblocks to complete tasks.

▪Ability to coordinate, share, and complete tasks, responsibilities with other onsite groups to efficiently achieve objectives.

▪Flexibility to adapt to improved procedures and practices.

▪Awareness of the Mine Safety and Health Administration (MSHA) Act & Regulations.

▪Be able to pass a background check and post offer physical.


TECHNICAL LEVEL UPGRADE

The Company believes in providing opportunities for its employees to advance within the organization. Upgrade to a higher technical level will be based on an individual’s eligibility, experience, aptitude, capability, competency and performance. Upgrades will be subject to management approval and Company discretion.


Employees must demonstrate competency according to the applicable criteria level in order to be considered for an upgrade. An opening at a higher level must be available for an individual to move into a higher pay level. The number of positions available at each technical level is based on operational staffing needs.
