ABOUT THE CONTROLLER ROLE

The Controller leads the day-to-day accounting function and ensures accurate, timely and well-controlled financial operations across the firm’s multi-office environment. This role oversees core processes including general accounting, billing, collections, and trust accounting, with a strong focus on compliance with Law Society requirements. Working closely with leadership, the Controller provides clear financial and cash flow reporting to support decision-making and overall visibility. The role also contributes to strengthening internal controls and improving consistency in financial practices across offices. As a key internal resource, the Controller supports lawyers, legal assistants, and staff with day-to-day financial matters while providing guidance and oversight to the accounting team. This is a hands-on role with the opportunity to enhance processes and support the continued growth of the firm’s financial function.

Key Responsibilities

·       Review accounts payable listings and complete final authorization of EFT submissions through the banking platform.

·       Provide weekly review and follow-up on accounts payable items with lawyers and assistants to support timely processing and issue resolution.

·       Prepare and review general and trust bank reconciliations, then sign and submit completed reconciliations to the Managing Partner for final signature.

·       Provide billing support and guidance to legal assistants, responding directly to billing-related questions and resolving issues as appropriate.

·       Prepare and/or oversee recurring government filings and remittances, including GST, WCB, EHT, T4s and corporate tax installments.

·       Prepare and/or oversee recurring Law Society of British Columbia and Law Society of Alberta quarterly and annual filings.

·       Prepare bi-weekly payroll with third-party software, ADP TeamPay.

·       Benefits administration along with group RRSP/DPSP plan management and remittances.

·       Prepare weekly cash flow reporting and provide visibility into current and anticipated cash requirements.

·       Review accounts receivable, analyze delinquent balances and report on outstanding accounts to leadership.

·       Establish annual budgets and analyze variances quarterly and annually.

·       Prepare and distribute income statement reporting and support management in understanding firm financial performance.

·       Manage year end process and working papers and liaise with external accountants.

·       Prepare full cycle accounting records for multiple related entities including GST filings and year end working papers.

·       Oversee the work of the accounting team to ensure accuracy, timeliness, consistency, and appropriate follow-through across the function.

·       Maintain strong internal controls, organized documentation and dependable accounting processes in a professional services environment.

·       Serve as a trusted internal resource, partnering closely with lawyers, legal assistants, and firm leadership on accounting and finance matters.

Education and Experience

·       Post-secondary education in Accounting, Finance, Commerce or a related discipline.

·       CPA designation preferred.

·       Progressive accounting experience, ideally including responsibility for full-cycle accounting, financial reporting and oversight of day-to-day accounting operations.

·       Previous experience with trust accounting and Law Society of British Columbia and Alberta quarterly and annual filing requirements.

·       Previous experience with Unity, a law firm accounting software, would be an asset.

·       Previous experience in both , legal and multi-entity environments..

·       Strong working knowledge of accounts payable, general and trust bank reconciliations, receivables, cash flow management and recurring statutory filings.

·       Experience mentoring and managing an accounting team.

·       Experience supporting senior professionals and responding to questions in a timely, practical and service-oriented manner.

·       High attention to detail, sound judgment, discretion and an ability to manage competing priorities in a busy office environment.

·       A collaborative and hands-on approach, with the ability to step into operational detail while maintaining oversight of the broader function.
