ABOUT THE ROLE 

We are seeking a highly organized, detail-oriented, and accountable Payroll Coordinator with strong experience in the trucking and logistics industry. The ideal candidate will have hands-on experience with QuickBooks Desktop, payroll processing for diverse employee groups, and a solid understanding of how time-management and payroll systems integrate with accounting software. This role requires an assertive professional who takes ownership of the payroll function, meets strict deadlines, and communicates effectively with internal teams and external agencies.


KEY RESPONSIBILITIES

·      Process accurate and timely payroll for drivers, owner-operators, subcontractors, and office staff

·      Maintain and update payroll records, including hours worked, deductions, benefits, adjustments, and statutory withholdings

·      Issue Records of Employment (ROEs) accurately and in a timely manner

·      Prepare, distribute, and file T4s and T4As for employees and contractors

·      Complete year-end payroll filings with CRA and ensure compliance with all federal and provincial requirements

·      Ensure ongoing compliance with payroll regulations, employment standards, and statutory remittances

·      Work closely with Operations, HR, and Finance teams to resolve payroll discrepancies and inquiries

·      Import, reconcile, and validate payroll and time-management data in QuickBooks Desktop

·      Review data from time-tracking, fleet management, and payroll systems for accuracy

·      Maintain a high level of accuracy and attention to detail in all payroll and reporting activities

·      Meet all payroll, remittance, and reporting deadlines consistently

·      Assist with payroll audits, reconciliations, and month-end close processes

·      Recommend, implement, and adapt to new payroll, accounting, or automation technologies as needed

 

SKILLS AND QUALIFICATIONS

Required

·      Proven experience as a Payroll Coordinator or in a similar payroll role

·      Strong experience with QuickBooks Desktop (required)

·      Experience in the trucking and logistics industry (highly desirable)

·      Solid understanding of payroll processing for hourly employees, drivers, and contractors

·      Experience working with time-management or time-tracking systems and their integration with accounting software

·      Strong knowledge of payroll compliance, CRA requirements, and year-end processes of T4 to CRA

·      Highly organized with exceptional attention to detail and accuracy

·      Assertive, accountable, and comfortable taking full ownership of payroll processes

·      Strong time-management skills with the ability to handle multiple priorities and deadlines

·      Excellent verbal and written communication skills

·      Ability to work effectively with diverse teams and stakeholders

·      Tech-savvy and comfortable learning and using new systems and tools

·      Documenting procedures and regularly updating the Standard Operating Procedure documents

·      Strong problem-solving and analytical skills

Preferred Qualifications

·      Experience with payroll automation tools and system integrations

·      Experience in high-volume or multi-company payroll environments

·      Familiarity with trucking-specific payroll complexities (mileage, per diems, incentives, deductions)


Please note this is a 100% on-site role. During month-end and year-end audits, working hours may occasionally exceed the standard 40 hours per week.
