The Rural Ontario Medical Program (ROMP) is seeking a detail-oriented, collaborative Finance Manager to support their extensive medical education program. ROMP facilitates medical learners to access meaningful rural training experiences and collaborates closely with physicians, learners, and healthcare/community partners across rural Ontario.


Reporting to the Executive Director, the Finance Manager plays a key role in overseeing ROMP’s financial administration, physician payments, learner reimbursements, payroll coordination, asset tracking, and operational support. The role works closely with internal ROMP staff and contracted support teams in Finance, Payroll, and IT provided through Collingwood General and Marine Hospital.


This position ensures accuracy, accountability, and compliance within ROMP’s financial and administrative processes and provides integral support during annual audits.


RESPONSIBILITIES

  • Track, reconcile, and maintain financial accounts across all ROMP cost areas (learners, physician preceptors, accommodations, payroll, supplies, etc.).
  • Prepare monthly financial summaries with required supporting documentation.
  • Maintain detailed financial tracking and support annual audit processes by liaising with internal partners and external auditors.
  • Collect, verify, and submit approved timesheets.
  • Coordinate payroll onboarding and offboarding with CGMH Payroll and Information Services.
  • Notify CGMH payroll regarding staffing changes and request Records of Employment when needed.
  • Verify funded rotation documentation and match eligible preceptors to teaching stipends.
  • Ensure physician invoices are complete, properly documented, and entered into the financial information system.
  • Monitor payment status and maintain accurate physician records for invoicing and year-end reporting.
  • Respond to physician inquiries and resolve discrepancies in collaboration with ROMP coordinators.
  • Review and process learner travel and expense reimbursements in accordance with ROMP policy.
  • Administer petty cash and corporate credit card processes.
  • Manage accounts receivable, including receipts, documentation matching, deposits, and follow-up.
  • Track and coordinate donation funds according to ROMP procedures.
  • Ensure all purchasing complies with ROMP procurement and confidentiality policies.
  • Maintain asset inventory records, including tagging and tracking equipment.
  • Liaise with CGMH for IT purchasing, equipment needs, and system access.
  • Manage user access to ROMP administrative and contact management systems.
  • Maintain office supplies and coordinate ordering and approvals.
  • Schedule meetings, support travel arrangements, and assist with logistics.
  • Provide general administrative and operational support to ROMP leadership and staff.


SKILLS & QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
  • Minimum of three (3) years of relevant experience in finance, administration, or operations.
  • Experience with accounting or financial systems (e.g., Sage), Excel, Teams, Zoom, and PowerPoint.
  • Strong organizational skills with keen attention to detail and documentation accuracy.
  • Demonstrated ability to understand, document, and improve process flows.
  • Strong collaboration skills with staff, physicians, learners, suppliers, and partner organizations.
  • Experience in healthcare, education, or not-for-profit environments would be an asset.
  • Familiarity with physician payments, stipends, or grant-funded programs is helpful.
