The client is seeking a highly motivated, client-focused administrative professional to partner with and provide robust support to their senior investment professionals within the Private Wealth Management division. The ideal candidate must exhibit exceptional communication skills, ambition, and a proven ability to build strong professional relationships to help propel the growth and efficiency of the client's platform.
Key Responsibilities and Impact Areas
The successful candidate will collaborate directly with multiple Financial Advisors to significantly enhance their productivity and efficiency through comprehensive service and support functions:
- Executive Support & Preparation:
- Ensure senior advisors are fully prepared for all client and prospect meetings by creating, preparing, and organizing high-quality presentations, complex reports, and essential meeting materials.
- Demonstrate a hospitality mindset by expertly setting up and arranging professional on-site client meetings and ensuring all logistical needs are met.
- Complex Calendar Management & Communication:
- Effectively manage and maintain complex executive calendars, scheduling meetings while proactively considering advisor preferences, needs, and competing priorities.
- Serve as the primary administrative point of contact and escalation for external client inquiries and administrative requests, ensuring timely resolution.
- Proactively maintain communication with advisors to understand shifting priorities and deliver updates on practice- or client-impacting developments.
- Client Relationship Management:
- Cultivate strong professional relationships with high-net-worth clients and their professional partners, responding to needs with urgency and a commitment to service excellence.
- Build and maintain internal partnerships with administrative teams, managers, and cross-functional business partners to facilitate task completion and achieve business goals.
- Project & Event Coordination:
- Actively participate in coordinating office-wide and client-facing events, including strategy attendance, attendee outreach, detailed logistics planning, and execution.
- Manage data entry, tracking, and coordination for critical team-facing initiatives, with opportunities to take on expanded projects focused on business development and client servicing.
- General Administrative & Office Operations:
- Perform general administrative duties, including drafting professional correspondence, managing database maintenance, overseeing expense reporting, and organizing domestic/international travel plans.
- Take ownership of tasks related to general office maintenance, including inventory management (supplies) and facilities coordination.
- Manage high-volume internal and external telephone calls for the team and provide coverage for the reception desk as needed.
Qualifications and Experience

Experience: 1+ year of professional administrative or executive support experience, ideally gained within a corporate, finance, or professional services setting.
Skills:
- Proven ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, demanding, and deadline-oriented environment.
- Outstanding verbal and written communication skills necessary for delivering distinctive client service.
- Strong time management, organizational skills, and a meticulous attention to detail.
- A high degree of client-focus and commitment to teamwork.
- Strong proficiency in Microsoft Office Suite is required; working experience with CRM systems (e.g., Salesforce) is highly preferred.

Compensation and Benefits Overview

Base Salary Range: Competitive and commensurate with experience ($65,000 - $68,000 annually).

Total Compensation: Comprised of a competitive base salary plus overtime compensation for hours worked beyond the standard workweek.

Standard Hours: Approximately 8:00 AM – 5:00 PM EST, with flexibility to work overtime as workload demands change.
