Overview:
We are seeking a dedicated and detail-oriented Project Assistant to join our Fortune 500 client's Field Talent team. In this role, you will play a critical part in delivering exceptional experiences for our Field Talent and Events partners. This position requires a proactive individual with strong project management, event planning, data management, communication, and administrative skills.
Key Responsibilities:
Project Management & Collaboration:
- Manage day-to-day project status, deadlines, and identify risks or challenges.
- Update status sheets to track project milestones and deadlines effectively.
- Collaborate with home office and field business partners to design an engaging program experience.
- Partner with the program manager to lead project status meetings with business partners, vendors, and consultants.
Creative & Event Coordination:
- Oversee the creative asset process in collaboration with the program manager.
- Plan and execute conference expos, ensuring all details are covered.
- Write and implement a comprehensive communications plan.
- Design and develop event materials, such as flyers, PowerPoint presentations, tracking tools, and Microsoft Forms.
Communication & Administration:
- Manage the program mailbox by responding to emails promptly and professionally.
- Build and maintain strong relationships with internal and external partners.
- Support program communications, including intranet site content, emails, mailers, and other materials.
- Maintain critical documents such as contact lists, process templates, and shared calendars.
Metrics & Reporting:
- Continuously manage metrics collection and provide periodic reporting as needed.
Additional Support:
- Provide project assistance and operational support for the Field Talent team as required.
Qualifications:
- Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Experience in project management, event planning, or a related field is highly preferred.
- Attention to detail and the ability to work collaboratively in a fast-paced environment.
