We are a small, high-performing, and growing team (2 full-time, 2 part-time, plus the owner/attorney). We value ownership, attention to detail, and people who actively look for ways to improve how things operate.
The Role
This is a high-impact, multi-functional role combining:
- Executive support
- Client services coordination
- Marketing execution
You will act as the right hand to the owner/attorney, a key client contact, and the engine behind consistent marketing execution.
This is not a task-based role — we are looking for someone who takes ownership, anticipates needs, and continuously improves systems.
Role Requirements
- Proven experience as an Executive Assistant or General Virtual Assistant in a U.S.-based law firm
- Willingness and ability to work U.S. business hours
- Marketing experience is a plus
- Strong technological proficiency and comfort with digital tools
Key Responsibilities
Executive Support
- Manage email and calendar proactively
- Track priorities, deadlines, and follow-ups
- Organize files and maintain systems
- Anticipate needs and reduce friction for the owner
Client Services & Coordination
- Serve as a first point of contact for clients
- Assist clients with intake completion and next steps
- Coordinate meetings and signing appointments
- Conduct confirmation calls and follow-ups for events
- Ensure a smooth, professional client experience
Operations & Data Management
- Maintain data and CRM accuracy, data integrity, and organization
- Track client progress and workflows
- Ensure nothing falls through the cracks
- Identify and suggest process improvements
Marketing & Content Execution
- Draft and schedule daily social media posts (content provided)
- Format and send weekly newsletters (content provided)
- Draft and publish weekly blog content (content provided)
- Design marketing materials (slides, flyers, etc.) using Canva
- Maintain and update referral partner database

Role Details
- Location: Fully Remote (Overseas candidates welcome)
- Schedule: Full-time, aligned with standard U.S. business hours
- Compensation: Based on experience and location
- Requirements: Strong tech proficiency required
- Starting rate: $8 per hour, could be higher depending on experience
