Executive Assistant (US Law Firm)

Full-Time: 8:30 AM – 6:30 PM Eastern

Starting Rate: $7/hour (higher depending on experience) | PTO: Available after 90 days

We are seeking a talented Executive Assistant to provide high-level support to our Managing Attorney. This is a key role in the firm where your initiative, attention to detail, and ability to manage multiple priorities will make a real impact.


About the Role

As the Managing Attorney’s Executive Assistant, you will be the central point of organization, communication, and oversight. You’ll manage day-to-day operations, ensure deadlines are met, and help the firm run efficiently. This is a hands-on position that requires professionalism, discretion, and the ability to take initiative. You will have the opportunity to grow with the firm and play a pivotal role in supporting both the attorney and the overall success of the office.


Please note: This position will require handling some personal tasks as well, including scheduling personal appointments, managing travel arrangements, and other personal support as needed.


Key Responsibilities

  • Provide comprehensive administrative support to the Managing Attorney, including calendar management, scheduling, and coordinating meetings
  • Draft, proofread, and manage emails, letters, and internal communications
  • Assist with oversight of office processes, tracking projects, and ensuring follow-through on tasks
  • Organize and maintain physical and digital files, documents, and records
  • Monitor deadlines and proactively flag priorities to ensure tasks are completed on time
  • Serve as a point of contact for clients, staff, and external partners, maintaining a professional and courteous demeanor
  • Handle confidential information with discretion and integrity
  • Perform additional administrative duties as needed to support firm operations
  • Manage personal tasks for the Managing Attorney, such as scheduling personal appointments and coordinating travel


Who We’re Looking For

  • Prior experience as an Executive Assistant, Legal Assistant, or administrative support is preferred
  • Highly proactive and able to work independently without constant supervision
  • Responsible, reliable, and detail-oriented, with a commitment to excellence
  • Outspoken with strong communication skills and confidence in decision-making
  • Professional demeanor and ability to interact with clients and staff respectfully
  • High level of integrity and discretion in handling sensitive information
  • Tech-savvy and comfortable using tools like GSuite, Microsoft Office, and task management platforms
  • Strong organizational skills with the ability to multitask and manage competing priorities in a fast-paced environment
