Receptionist – Law Firm

Location: 6551 S. Revere Parkway, Suite 255 Centennial, Colorado 80111

Compensation: $18 to $22 per hour, depending on experience


THE ROLE:

The Receptionist is the first point of contact for clients, prospective clients, and visitors and plays a critical role in creating a welcoming, professional, and organized environment for the law firm. This position is responsible for managing front desk operations, handling incoming communications, supporting scheduling and administrative tasks, and ensuring an exceptional client experience from the first interaction onward.


The ideal candidate is professional, detail-oriented, organized, and client-service driven. This role requires excellent communication skills, the ability to multitask in a fast-paced environment, and a positive, team-oriented attitude. The Receptionist will work closely with attorneys and staff to help maintain smooth day-to-day office operations and ensure clients receive timely and compassionate support.


Duties and Responsibilities

  • Answer and route incoming phone calls professionally and efficiently 
  • Greet clients and visitors warmly and ensure a positive office experience 
  • Manage front desk operations and maintain a clean, organized reception area 
  • Schedule, confirm, and reschedule client appointments and consultations 
  • Coordinate conference room availability and prepare meeting spaces for client meetings 
  • Receive, sort, scan, and distribute incoming mail and packages 
  • Assist with outgoing mail, shipping, and courier coordination 
  • Enter and update client and prospect information in the CRM and case management systems 
  • Prepare, print, scan, and organize client documents and packets 
  • Assist with assembling welcome packets and intake materials 
  • Follow up with clients regarding appointments, forms, or missing information 
  • Maintain attorney and office calendars as directed 
  • Check and respond to voicemails promptly or route messages to the appropriate staff member 
  • Provide administrative support to attorneys and legal staff as needed 
  • Monitor office supplies and place orders when necessary 
  • Maintain electronic and physical filing systems 
  • Assist with data entry and document management 
  • Support the team with special administrative projects and office tasks 
  • Ensure confidentiality of client and firm information at all times 


Tasks/Activities Will Include But Are Not Limited To:

  • Communicating with clients, attorneys, staff, and vendors in person, by phone, and via email 
  • Organizing, prioritizing, and completing tasks in a timely manner 
  • Managing schedules, appointments, and meeting logistics 
  • Documenting and maintaining accurate records and information 
  • Handling sensitive and confidential information with professionalism 
  • Using office technology, CRM systems, scheduling software, and Microsoft Office applications 
  • Supporting daily office operations and maintaining workflow efficiency 
  • Providing excellent customer service and maintaining positive professional relationships 
  • Identifying and resolving administrative issues proactively 


Qualifications

  • Previous receptionist, administrative assistant, or customer service experience preferred 
  • Law firm or professional office experience is a plus 
  • Excellent verbal and written communication skills 
  • Strong organizational and multitasking abilities 
  • Professional demeanor and appearance 
  • Ability to work independently and collaboratively in a team environment 
  • Detail-oriented with strong follow-through skills 
  • Proficiency in Microsoft Office and ability to learn new software quickly 
  • Comfortable handling multiple priorities in a fast-paced environment
