Client Services Director

Estate Planning Law Firm | Part-Time (30 hrs/week to start)

Starting Pay: $30/hour, transitioning to salary after training


About the Role

We are seeking a highly organized and client-focused Client Services Director to join our estate planning law practice. This role is central to ensuring that every client has a seamless and supportive experience from the very first consultation through the final delivery of their estate plan. The ideal candidate thrives on building relationships, managing complex workflows, and keeping clients informed and confident throughout the process.


Key Responsibilities

Client Relationship Management

  • Conduct initial consultations with prospective clients.
  • Act as the main liaison for clients, guiding them step-by-step through our process.
  • Communicate proactively with clients about next steps, timelines, and deliverables.
  • Meet with clients to review plan details, designs, and final documents.
  • Conduct post-signing meetings to review estate plan binders, explain funding steps, and record Legacy Interviews.
  • Coordinate with notaries to confirm signing dates and locations.

Case Management & Workflows

  • Use the Lawmatics System to manage client workflows and case progress.
  • Follow and continually improve internal Standard Operating Procedures (SOPs) to ensure efficiency and an exceptional client experience.
  • Manage the calendar, deadlines, and internal timelines to keep cases on track.
  • Participate in weekly team meetings and collaborate across roles.

Plan Finalization

  • Oversee the File Clerk to assemble estate plan binders or prepare for shipment via USPS (occasional post office trips may be required).
  • Coordinate with the paralegal to electronically record deeds through Simplifile and save copies.
  • Review and finalize plans post-signing before binder delivery.
  • Ensure all documents are scanned and shared with clients via secure portals.
  • Send Legacy Interviews, closing emails, and client review requests.

Team & Leadership

  • Supervise and support the File Clerk.
  • Collaborate with paralegals, drafters, and attorneys to ensure accuracy and timely delivery.
  • Step in to handle administrative tasks when needed, modeling both leadership and teamwork.


Qualifications & Skills

  • Experience: 2+ years in a law firm or similar professional role preferred; 1+ years in a supervisory role a plus.
  • Technical Skills: Proficiency with Google Suite, Microsoft Office, and Adobe required; WealthCounsel and/or Decision Vault experience strongly preferred.
  • Organizational Strengths: Highly detail-oriented, able to spot and correct errors quickly, strong project management skills, and proven ability to manage multiple priorities.
  • Soft Skills: Strong communicator with the ability to simplify complex ideas for clients, proactive problem solver, collaborative team player, and committed to delivering excellent client service.
  • Other Requirements: Private workspace for client confidentiality if working remotely, reliable transportation, and ability to lift up to 50 lbs.
