About the Role

 

We are seeking a proactive, people-oriented Virtual Intake Specialist to be the first point of contact for potential clients. Your mission is to call inbound leads, follow up with prospects, and get them scheduled for consultations with our team. This role is all about building trust, creating a positive first impression, and ensuring that no lead slips through the cracks.

Key Responsibilities

  • Call and connect with inbound leads promptly and professionally.
  • Conduct follow-up calls, emails, and texts to nurture warm leads until they are ready to book.
  • Clearly communicate the value of our services to prospective clients.
  • Qualify prospects by asking the right questions to ensure they meet our intake criteria.
  • Schedule appointments in the firm’s calendar and confirm attendance with clients.
  • Maintain accurate and detailed notes in our CRM/intake system.
  • Track and report on call activity, lead status, and conversion rates.
  • Collaborate with the team to ensure smooth handoff from intake to attorney/staff.
  • Follow established scripts and guidelines while still sounding natural and empathetic.

 

Qualifications

  • Proven experience in intake, appointment setting, customer service, or sales (law firm experience a plus, but not required).
  • Excellent phone presence with clear, professional, and friendly communication skills.
  • Strong follow-up skills with persistence to close the loop on every lead.
  • Ability to listen actively and respond with empathy.
  • Proficient in using CRM systems, calendars, and basic office software.
  • Organized, detail-oriented, and able to manage multiple leads at once.
  • Comfortable working in a remote, fast-paced environment.

 

Performance Metrics

  • Number of calls made and leads contacted per day/week.
  • Appointment booking rate.
  • Show-up rate for scheduled consultations.
  • Accuracy and completeness of intake documentation.
