Location: Wareham, Massachusetts (Virtual Role)

Hours: 8:30 AM – 4:30 PM EST, Monday–Friday

Starting Rate: $8/hour (may be higher depending on experience)


The Law Offices of Bello & Morton, LLC is seeking a proactive and highly organized Executive Assistant to support our managing attorney, firm operations, and family-related scheduling. This role is fully remote but requires prompt, professional communication and availability during business hours. The ideal candidate is resourceful, detail-oriented, and comfortable balancing business administration with personal support.


Key Responsibilities

Calendar & Scheduling

  • Manage and coordinate all calls, Zoom meetings, and appointments with clients, team members, and referral partners.
  • Schedule workouts, kids’ activities, lessons, and doctor appointments.
  • Maintain a master calendar for both family and firm, ensuring no conflicts.
  • Block time for vacations, retreats, and personal recharge.
  • Track school calendars, sports schedules, and special events.

Inbox & Communication

  • Triage daily emails, flag high-priority items, and draft responses for review.
  • Direct inquiries to the appropriate team members (e.g., estate planning – Jen, real estate – Cheryl).
  • Follow up with attorneys, CPAs, financial advisors, vendors, and referral partners.
  • Coordinate communication with event hosts and external partners.

Travel & Event Planning

  • Research and book flights, hotels, and accommodations (Airbnb, etc.).
  • Plan family getaways, conferences, and retreats.
  • Create detailed trip itineraries (restaurants, tours, kid-friendly activities).
  • Book tickets for concerts, shows, and family outings.

Client & Business Administration

  • Maintain trackers for billing, court dates, and deposition scheduling.
  • Send invoices and coordinate with the bookkeeper and paralegal.
  • Update SOPs, calendars, and internal workflows.
  • Prepare marketing materials including newsletters, presentations, and webinar resources.

Family Support (Virtual-Friendly)

  • Book lessons, camps, and sports sign-ups online.
  • Manage online orders (gifts, flowers, tickets, etc.) and RSVPs.
  • Coordinate grocery, meal kits, and delivery services (Instacart, Amazon, etc.).
  • Maintain a “kids’ activities” calendar with local trips, theme weeks, and events.
  • Coordinate with local sitters for scheduling (already pre-vetted).

Special Projects

  • Research enrichment opportunities for children.
  • Support Beach Bucket Club membership management, invitations, and event logistics.
  • Track KPIs and keep dashboards current.


Qualifications

  • 3+ years of experience as an Executive Assistant, preferably in a law firm or professional services environment.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Exceptional written and verbal communication skills.
  • Tech-savvy with proficiency in Microsoft Office, Google Suite, Zoom, and project management tools (Asana, Trello, or similar).
  • Discretion, integrity, and ability to handle sensitive information with confidentiality.
  • Flexible, solution-oriented, and able to adapt to shifting priorities.
  • Prompt responses to requests and tasks.
  • Clear, professional communication at all times.
  • Willingness to take direction and adjust to feedback.
