Client Services Director- Law Firm

Position Overview
The Client Services Director (CSD) is responsible for overseeing and elevating the entire client experience. This role ensures that clients feel heard, valued, and guided at every step of their journey. The CSD manages intake, communication workflows, client satisfaction, and coordination between clients and the legal team. This is a client-facing, relationship-centered role that requires empathy, follow-through, and strong communication skills.
Key Responsibilities
Client Intake & Onboarding
- Serve as the primary point of contact for all new inquiries and leads.
- Conduct initial intake calls, assess client needs, and determine fit for the firm.
- Schedule consultations and ensure clients receive all necessary pre-meeting materials.
- Deliver a seamless onboarding process for newly retained clients.
Client Relationship Management
- Maintain consistent, proactive communication with clients throughout their case.
- Follow up to ensure clients understand the next steps and feel supported.
- Handle client questions with professionalism, clarity, and empathy.
- Monitor client satisfaction and address concerns promptly.
Administrative & Operational Support
- Maintain accurate client records within the firm’s CRM/case management system.
- Track KPIs related to intake, conversion rates, and client satisfaction.
- Coordinate internally with attorneys and support staff to keep cases moving efficiently.
- Identify workflow bottlenecks and propose improvements.
Sales & Conversion Support
- Conduct follow-ups with potential clients after consultations.
- Confidently discuss the value of the firm’s services and support the client in making a hiring decision.
- Ensure transparency and clarity around fees, retainers, and next steps.
Qualifications
- Experience in a law firm, customer service, sales, or client-facing role (legal experience is a plus but not required).
- Warm, empathetic communication style with strong listening skills.
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
- Professional written and verbal communication.
- Tech-savvy and comfortable learning new systems (CRM, case management, email platforms).
- Ability to work independently and maintain confidentiality.
