A Principal is seeking a highly organized, sophisticated Personal Assistant/Executive Assistant to free up the principal from interruptions. This client has a small family office and a local brokerage branch. This multifaceted role requires a candidate with prior experience as an assistant in a financial services environment, with good organizational skills, and the ability to manage both professional and personal responsibilities. The ideal candidate will be sophisticated, curious, and can handle a diverse set of tasks, including record-keeping and vendor management. There is another assistant to help and overlap.


Position: Personal/Executive Assistant

Location: Mamaroneck, NY (on-site)

Schedule: Monday through Friday, 9:00 AM to 5:00 PM

Salary: $100,000- $120,000



Key Responsibilities

 

  • Executive Support: Provide administrative support to the CEO, including managing schedules, handling correspondence, organizing documents, tracking deadlines, and facilitating communication with stakeholders.
  • Record Keeper: Oversee and maintain accurate records for the CEO’s brokerage office, investment activities, and personal affairs, ensuring organization and accessibility.
  • Property Management: Help manage the principal’s residence and other properties, including a shopping center, by coordinating maintenance, repairs, and vendor relations as needed.
  • General Administration: Handle ad-hoc tasks and occasional personal or professional errands as required.


Qualifications


  • Experience: Minimum of 3-5 years of experience as a personal assistant or executive assistant in a brokerage office or similar financial services environment.
  • Project Management: Background or familiarity with overseeing property-related projects.
  • Skills:
  • Exceptional organizational and multitasking abilities.
  • Strong communication skills, both written and verbal, with a professional and sophisticated demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with record-keeping or CRM software.
  • Ability to manage sensitive information with discretion and integrity.
