Position Title: Full Time, Family Residential Property Manager / House Manager

Location: East Quogue, Long Island

Reporting to: Family Residences Manager

Schedule: In Season Flexibility Required

Salary 160-175k DOE with Healthcare


CLIENT OBJECTIVE

Our client is seeking an experienced, highly organized and service-oriented Property Manager / House Manager to oversee the daily operations and maintenance of a newly built single family residential compound. The property contains a large house, a dock, a boat house and two additional residential structures. The property serves as the family’s weekend and summer home.


The Property Manager/House Manager will serve as the primary on-site lead in Long Island and support the Residences Manager across other family properties as needed, typically in the off season.


This role requires a hands-on contributor with exceptional attention to detail and strong project management skills. The ideal candidate has proven vendor management experience and can work efficiently and discreetly in a high expectation environment. This is a long term opportunity for a polished professional who excels in maintaining high end homes and delivering platinum level service.


POSITION RESPONSIBILITIES

Property Operations and Maintenance

·      Oversee day to day operations ensuring excellence across interiors, exteriors and dock including a 35 foot power boat and smaller craft.

·      Conduct regular walkthroughs and maintain preventative maintenance schedules and logs.

·      Ensure grounds, gardens, marine areas, pool and spa systems, garages and storage are guest ready.

·      Manage seasonal equipment including bikes, boards and beach gear.

·      Coordinate seasonal open and close including ramp up and winterization.

·      Oversee vehicles and boats including servicing, detailing, fueling and storage.

·      Liaise with marine and automotive providers and track maintenance.

·      Utilize Nines Living software for centralized task and documentation management.

Vendor, Contractor and Project Oversight

·      Coordinate and supervise vendors across mechanical, landscaping, AV, security and specialty trades.

·      Evaluate service contracts and track performance.

·      Oversee repairs and property projects including scopes, bids and punch lists.

Household Support, Logistics and Hospitality

·      Manage supplies, inventories and storage systems.

·      Assist with seasonal changeovers and arrival and departure preparation.

·      Support family events including vendor coordination and on site presence.

Technology, Security and Risk Management

·      Monitor smart home, AV, IT and security systems.

·      Implement key control and visitor protocols.

·      Maintain storm procedures and emergency readiness.

Financials, Records and SOPs

·      Support invoice review and expense tracking.

·      Maintain manuals, checklists and asset inventories.

·      Assist with capital planning and lifecycle inputs.

Collaboration and Multi Property Coordination

·      Serve as primary Long Island lead while coordinating with Residences Manager.

·      Provide support to other properties during off season.

·      Coordinate cross property logistics and vendor scheduling.

Seasonal Rhythm

·      May through October high touch on site operational season.

·      November through April project focus and NYC support.


CANDIDATE REQUIREMENTS

·      Bachelor’s degree required.

·      Minimum five years managing high end private residences or luxury hospitality.

·      Strong vendor and project oversight experience.

·      Technical understanding of residential systems including HVAC, plumbing, electrical and AV.

·      Experience with boats and waterside property preferred.

·      Discreet, professional and service oriented.

·      Strong task tracking and documentation skills.

·      Valid driver’s license with clean record.

·      Flexible with extended hours during peak season.

·      Authorized to work in the United States.

·      Seasonal readiness with no preventable downtime.

·      Strong vendor performance and accountability.

·      Maintenance discipline with accurate logs.

·      Updated SOPs and full software integration.

·      Principal satisfaction with seamless property operations.
