Our client is a global entertainment company building permanent, always-on venues where fans can step inside the stories they love. Each location runs a rotating slate of immersive events, activations, and local programming.
They're hiring a Production Event Specialist at two of these venues, one in King of Prussia and one in Dallas.
THE ROLE
You're the production engine behind everything that happens on site before the doors open. Concept, design direction, vendor sourcing, fabrication, budget, install. You won't be running the events themselves once they're live.
About 60 percent of the work is executing against creative toolkits that come down from the central team. The other 40 percent is originating your own ideas for local programming, inside set brand and IP parameters. You'll report to the venue's General Manager and work day to day with the Event Supervisor and the Programming Marketing Specialist.
This is a 3D role. Spatial builds, sets, props, photo moments, physical installs. It is not a graphic design job, and you won't be designing anything yourself. All design routes through the central creative team or an outside agency. Your job is to direct it, spec it, QC it, and get it built on time.
WHAT YOU'LL DO
Concept and creative direction
- Develop local event and activation concepts that fit the brand's IP and campaign calendar
- Build project decks that carry design intent and production specs through creative, legal, and IP review
- Give clear direction to vendors and fabricators, then QC the build against it
- Read and mark up fabrication drawings
Vendor management and production
- Source, vet, and onboard vendors across fabrication, decor, AV, props, and scenic
- Build a local vendor bench you can move quickly with
- Own each vendor relationship from first quote through final install
- Run on-site installs and load-ins
- Keep roughly eight activations moving at once, on timelines measured in weeks
Budget and admin
- Build cost estimates from vendor bids and hold projects to them
- Draft SOWs, set up POs, track invoices through to payment
- Partner with Finance on project-level P&Ls
- Flag budget risk early, before it turns into a problem
WHAT WE'RE LOOKING FOR
- 5+ years producing experiential, immersive, or live event builds on short timelines
- Real fluency in 3D production: fabrication, materials, spatial design, install
- Comfortable reading fabrication drawings and running creative QC on a build
- Vendor contracting experience, from sourcing through final invoice
- Experience working inside an IP or brand approval process
- Scrappy budget instincts. Most activations here land between $5K and $40K, so what you can do with a small number matters more than the biggest budget you've managed
- Organized enough to hold eight projects in your head without dropping details
- On site at the venue, with a flexible schedule that includes evenings and weekends. This is not a 40-hour-a-week role
BACKGROUNDS THAT TEND TO WORK HERE
- Immersive and experiential event design, or location-based entertainment
- Theme park entertainment and events (the events side, not long-cycle attraction development)
- Experiential marketing or video game marketing
- Theater production
- Trade show and exhibit houses, if you've worked in storytelling and licensed IP
