THE OPPORTUNITY


Our client is seeking an Assistant Manager, eBilling Operations to own the day-to-day management of its eBilling function across all offices. This is a high-visibility role sitting at the intersection of technology, client service, and financial operations — with direct impact on the firm's billing and collections performance. The ideal candidate brings deep eBilling expertise, strong leadership instincts, and the ability to drive process improvement in a complex, multi-office environment.

WHAT YOU'LL DO


Team Leadership

▸ Manage and develop a team of eBilling coordinators — supervising daily workflows, managing schedules, and conducting performance evaluations

▸ Provide training and day-to-day guidance to eBilling, Billing, and Collections teams on eBilling processes and best practices


Operations & Compliance

▸ Administer third-party eBilling platforms (including eBillingHub) and client vendor sites; resolve issues between external clients, internal teams, and eBilling systems

▸ Prepare and maintain the weekly eBilling Status Report (ESR); analyze trends, manage escalations, and report material/aged rejections to senior leadership

▸ Review Outside Counsel Guidelines, assess electronic billing requirements, and communicate requirements to the Billing team to ensure accurate invoice submission

▸ Ensure adherence to eBilling deadlines across all offices; audit and monitor vendor fees


Onboarding & Systems

▸ Manage new client eBilling onboarding, lateral partner transitions, system conversions, new matter setup, timekeeper approvals, matter budgets, and appeals

▸ Collaborate with the Rates and Billing Compliance team on annual rate increase projects


Process Improvement & Reporting

▸ Identify workflow inefficiencies and implement solutions to reduce internal work cycles and improve eBilling operations

▸ Develop and maintain decision-useful reporting to support billing and collections activities; create and maintain process documentation

WHAT YOU'LL BRING


▸ 5+ years of progressive eBilling experience in a law firm or professional services environment, including supervisory or team lead responsibility

▸ Advanced knowledge of Elite 3E or a comparable legal accounting system

▸ Advanced working knowledge of leading third-party eBilling platforms, including eBillingHub

▸ Strong analytical skills with high proficiency in Microsoft Excel

▸ Ability to communicate clearly and effectively with attorneys, staff, vendors, and client contacts

▸ Bachelor's degree in Accounting, Finance, or a related field

▸ A detail-oriented, solutions-focused mindset with demonstrated ability to manage competing priorities in a fast-paced environment
