About Project: SalesForce VMS CRM Project Manager
To keep watch, provide input and assist in managing the appointed SalesForce VMS CRM vendor in developing, building, installing, testing and implementing a bespoke VMS CRM using SalesForce platform to enhance the current volunteer management practice at charity; to improve on its efficiency and user experience as well as to capture relevant data, store for easy retrieval and for analysis and reporting so as to smarten and sharpen charity’s VMS practice.
Project Description & Scope
The charity client has in place a Volunteer Management Framework with operating principles and procedures aligned with recommended NCSS best practices. A vendor had been commissioned to design, develop, build and install an integrated DMS-VMS-CRM based on SalesForce platform. The project was split into Phase One – DMS and Phase Two – VMS. Phase One has been completed, and we are now looking to embark on Phase Two.
The vendor will design, build, install and implement the VMS CRM in accordance to our specifications and project brief. While the vendor will be expected to value-add and provide technical counsel, the vendor will require guidance on charity’s VM practice and needs so that the VMS CRM can best support and enhance its VM practice on ground.
Key Requirements
1. Familiar and experienced with Volunteer Management practices and with the volunteering life cycle. [It is not too different from running a talent management agency]
Ideally someone who has been volunteering on an active basis and/or who has managed volunteers. This will help in understanding the VM Framework and Operating System currently deployed at SAAC as well as understanding the volunteer journey. With this understanding, the person can appreciate what will be needed of a VMS CRM to enhance VM efficiency and productivity and optimise the volunteer interface.
2. Familiar and experienced with SalesForce VMS
It’ll be great to have someone who has worked with SalesForce VMS in managing volunteers. If not, then someone technically competent and at ease with working with data management systems, perhaps with qualifications in data science.
3. Willing to roll up their sleeves
In order to be grounded in SAAC’s VM practice, the person will need to go through the volunteer journey so as to empathise with what a volunteer goes through while volunteering in SAAC whether in SAAS, the DACs or SAAH. It is not only to stress test the existing VM system / process at play in SAAC but to also appreciate the needs and issues faced by a volunteer. This user experience will be invaluable when providing guidance to the VMS vendor and help to QC to ensure the VMS design meets with the needs of the administrator as well as the volunteer in optimising user experience [This also assumes an appreciation on the role and function of a VM executive / manager]
Metrics for Success
1. Be able to value-add by contributing to and improving the existing specifications / project brief given to the vendor
2. Able to help keep watch, provide input and assist in managing the appointed SalesForce VMS CRM vendor in developing, building, installing, testing and implementing a bespoke VMS CRM using SalesForce platform to enhance the current volunteer management practice at SAAC to improve on its efficiency and user experience as well as to capture relevant data, store for easy retrieval and for analysis and reporting so as to smarten and sharpen SAAC’s VMS practice.
3. Ensure the project keeps on track and the vendor delivers and does not slacken nor provide sub-standard work and service.
