Our client is a registered charity consultancy, dedicated to strengthening governance, operations, and cross‑sector collaboration to enable effective social innovations to scale and sustain impact.


Role Description

Reporting directly to the CEO/DCEO, the role owns and drives the day‑to‑day execution of Tri‑Sector’s systems, processes, and administrative infrastructure. The role carries primary accountability for HR operations, charity governance administration, partner and vendor management, systems oversight, and general office operations. It ensures that staff experience reflects the firm’s mission and values, enabling a high‑performance team through reliable operational support.

 

Responsibilities

1. People Operations

  • Manage leave records, remote work approvals, and employee documentation.
  • Coordinate payroll inputs and ensure accurate, timely processing.
  • Maintain and refine people policies for compliance and guidance.
  • Execute staff onboarding checklists, ensuring accounts, equipment, and orientation are in place.
  • Support performance review cycles and hiring processes.
  • Maintain staffing projections in collaboration with leadership.
  • Foster employee experience through team‑building and engagement initiatives.
  • Support annual benchmarking of benefits and compensation.


2. Charity Governance & Compliance

  • Coordinate annual governance cycle: audits, annual report preparation, Governance Evaluation Checklist (GEC) filing, and AGM administration.
  • Liaise with external auditor and corporate secretary on administrative matters.
  • Maintain policy register and track review schedules.
  • Support board administration: papers, calendars, logistics, minutes, and resolutions.
  • Track regulatory filing deadlines and board/advisory appointments/renewals.


3. Partner Management

  • Maintain vendor register and manage service contracts.
  • Administer legal contracts and track renewal dates.
  • Liaise with Temasek Shophouse for venue and facilities requests.
  • Manage virtual executive assistants and operational service arrangements.
  • Track key funders and clients, supporting relationship leads.


4. Systems Management

  • Oversee daily operation of technology platforms (Airtable, Google Workspace, Microsoft 365, Slack, Streak CRM, Zapier, AI tools etc).
  • Manage user access, software subscriptions, license renewals, and system troubleshooting.
  • Maintain Google Shared Drive discipline and onboard new team members to all operational systems.
  • Support macro‑level systems improvements with leadership.



5. General Operations & Office Management

  • Ensure recurring tasks and processes are completed reliably.
  • Support monthly financial and impact dashboards.
  • Assist in planning donor events and managing executive calendars.
  • Coordinate learning and development calendar.
  • Handle procurement and maintain inventory of office equipment and supplies.


Requirements

  • Bachelor’s degree in Business Administration, Human Resource Management, or related discipline.
  • Minimum 6 years of experience in operations, administration, or programme coordination.
  • Prior exposure to HR, charity governance, or professional services is advantageous.
  • Comfort with technology platforms (Airtable, Google Workspace, Microsoft 365, CRM tools) or willingness to learn quickly.
  • Strong orientation towards detail, process, and operational discipline.
  • Generalist disposition with ability to manage diverse responsibilities.


Role Engagement & Remuneration

  • This is a full‑time role; open to fractional arrangement (3-4 days/week).
