Our client is looking for a dynamic and fast-moving Executive Assistant (Fractional, approximately 6 hours per day) to support their leadership office and enable effective executive operations. This role is pivotal in ensuring seamless coordination across calendars, communications, and priorities, while supporting senior leaders in a fast-moving and globally connected environment. The Executive Assistant will play a key role in driving execution excellence, managing confidential matters, and enabling leadership to focus on strategic decision-making as the organisation continues to scale.

About the Role

The company is seeking a dynamic and fast-moving Executive Assistant to join their leadership office in Singapore. This role plays a critical part in governing executive operations and communicating seamlessly across internal teams and external global partners. The position offers exposure to high-level decision-making in a rapidly scaling AI company.


Candidates must be eligible to work in Singapore under local visa requirements.


Key Responsibilities

  • Govern day-to-day operations, including managing calendars, meetings, travel, and priorities with speed and accuracy
  • Draft, review, and manage professional communications (emails, reports, presentations) for leadership
  • Coordinate effectively across global offices, partners, and stakeholders
  • Track tasks, follow-ups, and deadlines to ensure flawless execution
  • Support hiring, administrative matters, special projects, strategic initiatives, and high-profile events
  • Handle confidential information with discretion and professionalism


Requirements

  • 1–5 years of experience as an Executive Assistant or Personal Assistant supporting senior leadership
  • Exceptional written and verbal communication skills
  • Strong organisational and governance capability, with a proactive mindset in proactive in structuring, prioritizing, and executing tasks.
  • Tech-savvy (Google Workspace, Microsoft Office; productivity tools such as Slack and Notion are a plus)
  • High-speed, solution-oriented mindset with global exposure or cross-cultural sensitivity
  • Must meet Singapore visa and work eligibility requirements
  • Preferably with experience with managing international stakeholders, including those with strong or dominant communication styles.
