Employment Type: Contract (3-6 months)
Location: Toronto, ON (Hybrid)
Rate: To be confirmed
Industry: Logistics & Warehousing / Fulfillment
Position Type: New Role
About the Opportunity
Our client is a fast-scaling, venture-backed logistics and warehousing organization that has evolved into a rapidly growing logistics & fulfillment business. Reporting into the Director of Finance Operations (and partnering closely with Strategic Finance), this contract opportunity is ideal for a hands-on Financial Operations Consultant who can bring structure, rhythm, and accountability to billing and AR. You’ll step into a high-impact mandate: stabilize a complex, largely manual billing process, reduce disputes, improve on-time and in-full invoicing, and leave behind documented, repeatable processes the team can run independently. If you enjoy solving messy operational problems, building simple systems that stick, and coaching distributed teams through change, this role offers immediate ownership and meaningful outcomes.
Key Responsibilities
- Assess the current billing/AR workflow, documentation, and tool stack (Google Sheets, Linear, billing engine outputs, NetSuite invoice uploads).
- Lead the end-to-end effort to stabilize billing operations, with a focus on improving on-time and in-full invoicing.
- Build and implement standardized per-merchant invoice checklists and a master invoicing schedule across varied billing cadences (weekly, semi-monthly, monthly, and Net-90).
- Create and operationalize KPI tracking and dashboards, including:
- Billing on-time rate
- Billing completeness (in-full)
- Dispute volume and root-cause themes
- Aging/straggler items and follow-ups
- Establish a monitoring cadence and reporting rhythm to ensure consistent execution week over week.
- Provide daily/weekly workload snapshots and resourcing recommendations to support prioritization and coverage across the AR team.
- Coach and support a distributed AR team (including outsourced team members) to adopt new processes; escalate and troubleshoot blockers to hit billing targets.
- Evaluate current systems and workflow approach; recommend whether to maintain or replace components (e.g., Linear/Sheets) and outline an improvement path.
- Define tooling / automation requirements and draft system specifications that can be handed to product/engineering or an implementation resource.
- Perform (or scope) historical reconciliations to identify and resolve missed invoices or billing build issues, potentially spanning multiple prior months.
- Document runbooks and processes thoroughly, and transition ownership to Finance Operations leadership for long-term sustainability.
What You Bring
-
5+ years of experience in finance operations, billing operations, and/or AR leadership, with clear examples of scaling billing processes.
- Hands-on exposure to ERP and billing systems; NetSuite experience strongly preferred (experience with alternatives such as Intacct or Business Central is an asset).
- Demonstrated strength in process design and operational rigor (checklists, runbooks, SLAs, KPI design, cadence-building).
- Experience working with distributed and/or outsourced teams, including the ability to apply short-term oversight to embed new habits and workflows.
- Strong dashboarding and KPI reporting capabilities (e.g., Sheets, Power BI, Tableau, Looker) and comfort working with data warehouse outputs / ETL-driven data.
- Ability to operate effectively in environments with both manual and automated workflows; comfortable translating operational needs into automation requirements.
- Clear communication and practical change-management skills, including training and standardizing team execution.
