Trusts and Estates Paralegal

As a Trusts and Estates Paralegal in our Philadelphia office, you will turn complex family and wealth-transfer goals into executed documents, funded trusts, and closed estates that stand up to tax, court, and beneficiary scrutiny. Your work directly safeguards client legacies and frees attorneys to advise at the highest level.
Performance Objectives
- Prepare, review, and assemble complete estate-planning packages (wills, trusts, powers of attorney, healthcare directives) so that 95% of first drafts require only attorney-level edits.
- Administer probate and trust administrations from petition through distribution, tracking deadlines, inventory, accountings, and tax filings to close matters within agreed timelines.
- Coordinate asset transfers, beneficiary designations, and funding of trusts, confirming title and account changes are complete and documented within 30 days of execution.
- Maintain accurate, audit-ready files and dockets in the firm’s document-management system so that any matter can be reconstructed or handed off without delay.
- Support attorneys in client meetings and court appearances by producing calendars, summaries, and exhibit packages that keep proceedings on schedule.
- Identify and flag inconsistencies, missing information, or tax-sensitive issues early enough to prevent rework or missed filing dates.
Environment & Resources
You will report to a Trusts and Estates partner or senior counsel and work closely with a dedicated T&E team plus tax, real-estate, and corporate colleagues. You will have access to the firm’s practice-management and document systems, research tools, and administrative support. The role is based in Philadelphia with hybrid flexibility consistent with firm policy.
Essential Qualifications
- Demonstrated ability to draft and organize estate-planning and administration documents that attorneys can finalize with minimal revision.
- Proven experience managing probate or trust administrations through court filings, inventories, and distributions without missed statutory deadlines.
- Skill in tracking multi-step funding and titling tasks to confirmed completion.
- Comfort operating in a high-volume, deadline-driven environment while maintaining accuracy and client confidentiality.
- Strong written communication and file-organization habits that support seamless attorney and client handoffs.
