Executive Personal Assistant
Position Overview
We are seeking a highly dependable, organized, and proactive Executive Personal Assistant to provide comprehensive personal and administrative support to senior executives and their families. This long-term role is ideal for someone who thrives in a fast-paced environment, works well independently, and can effectively manage a wide range of responsibilities with professionalism and discretion.
The ideal candidate is detail-oriented, tech-savvy, resourceful, and capable of balancing personal assistance, scheduling, logistics, errands, and administrative coordination with minimal supervision.
Key Responsibilities
- Coordinate travel arrangements including flights, hotels, transportation, restaurant reservations, and detailed itineraries
- Manage personal errands such as shopping, returns, pickups, deliveries, and other day-to-day tasks
- Transport vehicles for maintenance, dealership appointments, or servicing as needed
- Assist with calendar management, scheduling appointments, and organizing executive and family-related activities
- Provide administrative support including handling correspondence, organizing documents, managing follow-ups, and general coordination tasks
- Communicate professionally with family members, vendors, service providers, and external contacts
- Utilize technology confidently including email platforms, calendars, online ordering systems, navigation tools, and mobile applications
- Assist with special projects and ad hoc assignments as needed
- Maintain confidentiality while handling sensitive personal and business-related information
- Support household and executive operations to ensure smooth day-to-day coordination
Qualifications
- High school diploma or equivalent required
- 3–5 years of experience as a Personal Assistant or Executive Assistant with personal support responsibilities
- Strong organizational and time-management skills with the ability to prioritize multiple tasks independently
- Excellent verbal and written communication skills
- Strong problem-solving abilities and proactive mindset
- Proficiency in Microsoft Office and comfort learning new technologies and online tools
- Proven reliability, punctuality, and attention to detail
- Valid driver’s license with a clean driving record
- Comfortable driving locally and handling transportation-related tasks
- Ability to maintain confidentiality and exercise discretion at all times
- Professional, friendly, and service-oriented demeanor
Preferred Qualifications
- Bachelor’s degree preferred
- Prior experience supporting executives or high-level professionals in a personal assistant capacity
- Experience coordinating travel logistics, scheduling, and executive support functions
