Investor Relations Specialist
About the Role
The Investor Relations Specialist supports the management and administration of investor relationships throughout the lifecycle of their investments. This role serves as an important point of contact for new and existing investors, ensuring timely communication, accurate documentation, and responsive support.
The Investor Relations Specialist works closely with Investor Relations, Business Development, Accounting, Legal, Compliance, and other internal teams to maintain accurate investor records, coordinate investment-related documentation, support capital activity, and provide high-quality service to investors.
The ideal candidate is highly organized, detail-oriented, and comfortable working with senior executives, high-net-worth individuals, institutional investors, and other stakeholders. This position requires strong communication skills, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Performance Objectives

Investor Communication & Support: Serve as a primary point of contact for an assigned group of investors, responding to inquiries and providing timely, professional assistance throughout the investment lifecycle.

Investor Relationship Management: Build and maintain positive relationships with investors while ensuring a high level of service and responsiveness.

Investor Communications: Prepare, distribute, track, and review investor communications, including capital call notices, distribution notices, tax information, reports, and other investment-related correspondence.

Investor Portal & CRM Administration: Create and maintain accurate investor and prospect records within CRM and investor portal systems, ensuring information remains current and complete.

Document Management: Organize and maintain investor documentation, including subscription materials, reports, tax documents, forms, and other required records in accordance with internal policies and compliance requirements.

Data Accuracy & Integrity: Review investor data for discrepancies, identify errors, and coordinate with appropriate internal teams to ensure accurate and timely corrections.

Subscription & Compliance Support: Send, track, and review subscription documents and other required materials, following up with investors to ensure all required information is completed and submitted.

Capital Activity Tracking: Maintain accurate records of investor commitments, capital calls, distributions, payments, and other investment activity.

Payment Follow-Up: Monitor outstanding investor payments and documentation and coordinate follow-up regarding past-due balances or incomplete materials.

Accounting Coordination: Compile and summarize investor and capital activity information for internal Accounting and Finance teams.

Reporting: Prepare accurate and timely reports related to investor activity, outstanding documentation, commitments, payments, and other requested information.

Event Support: Assist with investor meetings, presentations, conferences, and other events by preparing investor materials, information packages, and related documentation.

Portfolio Reporting: Generate investor portfolio and investment reports as requested by internal teams or investors.

Cross-Functional Collaboration: Partner with Investor Relations, Business Development, Accounting, Legal, Compliance, and other departments to resolve investor issues and support business objectives.

Process Improvement: Identify opportunities to improve investor service processes, data management, reporting, and administrative workflows.

Special Projects: Support strategic initiatives and other projects as assigned by Investor Relations leadership.
Skills & Experience
- Bachelor's degree in Business, Finance, Accounting, Economics, or a related field preferred; equivalent professional experience may be considered.
- 2–4 years of experience in investor relations, business development, financial services, investment management, private equity, legal services, client services, or a related environment.
- Experience working with CRM platforms, investor portals, or other relationship management systems preferred.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.
- Experience with Adobe Acrobat or similar document management tools.
- Strong written and verbal communication skills.
- Excellent organizational skills and exceptional attention to detail.
- Ability to manage multiple projects, competing priorities, and time-sensitive deadlines.
- Comfortable communicating professionally with senior executives, high-net-worth individuals, institutional investors, and other stakeholders.
- Ability to handle confidential and sensitive financial and investor information with discretion.
- Strong analytical and problem-solving skills.
- Ability to work independently while collaborating effectively across multiple departments.
- Experience working with institutional investors, private equity, real estate, alternative investments, or investment funds is a plus.
- Familiarity with AI-powered productivity and research tools is a plus.
