Executive Assistant
Position Overview
We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to senior executive leadership. This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced professional environment.
The ideal candidate is resourceful, polished, and capable of handling confidential information with discretion while supporting executive operations, strategic initiatives, and day-to-day administrative functions.
Key Responsibilities
- Manage complex executive calendars, including scheduling meetings, coordinating appointments, and arranging travel logistics
- Prepare agendas, presentations, briefing materials, reports, and follow-up action items for executive meetings
- Draft, review, and manage executive correspondence, communications, and documentation
- Coordinate leadership meetings, partner engagements, executive events, and board-related logistics
- Track key initiatives, deadlines, deliverables, and strategic priorities on behalf of executive leadership
- Serve as a liaison between executives and internal teams, clients, partners, and external stakeholders
- Handle highly confidential and sensitive information with professionalism and discretion
- Support expense reporting, administrative workflows, and executive reporting activities
- Assist with special projects and operational initiatives as assigned
- Anticipate executive needs and proactively resolve scheduling or administrative challenges
Qualifications
- Minimum of 7 years of progressive executive administrative experience
- At least 3 years of experience directly supporting C-suite executives, preferably CEOs or senior leadership teams
- Strong executive presence with excellent verbal and written communication skills
- Exceptional organizational, time management, and multitasking abilities
- Ability to prioritize competing demands in a fast-paced environment
- High level of professionalism, discretion, and attention to detail
- Proven ability to work independently and maintain confidentiality
Technical Skills
- Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, and Word
- Experience coordinating virtual meetings, presentations, and executive reporting materials
- Familiarity with expense management and administrative systems preferred
Preferred Qualifications
- Experience supporting executives within a professional services, consulting, or public accounting environment
- Strong project coordination and stakeholder management experience
