Position Overview

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to senior executive leadership. This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced professional environment.

The ideal candidate is resourceful, polished, and capable of handling confidential information with discretion while supporting executive operations, strategic initiatives, and day-to-day administrative functions.

Key Responsibilities

  • Manage complex executive calendars, including scheduling meetings, coordinating appointments, and arranging travel logistics
  • Prepare agendas, presentations, briefing materials, reports, and follow-up action items for executive meetings
  • Draft, review, and manage executive correspondence, communications, and documentation
  • Coordinate leadership meetings, partner engagements, executive events, and board-related logistics
  • Track key initiatives, deadlines, deliverables, and strategic priorities on behalf of executive leadership
  • Serve as a liaison between executives and internal teams, clients, partners, and external stakeholders
  • Handle highly confidential and sensitive information with professionalism and discretion
  • Support expense reporting, administrative workflows, and executive reporting activities
  • Assist with special projects and operational initiatives as assigned
  • Anticipate executive needs and proactively resolve scheduling or administrative challenges

Qualifications

  • Minimum of 7 years of progressive executive administrative experience
  • At least 3 years of experience directly supporting C-suite executives, preferably CEOs or senior leadership teams
  • Strong executive presence with excellent verbal and written communication skills
  • Exceptional organizational, time management, and multitasking abilities
  • Ability to prioritize competing demands in a fast-paced environment
  • High level of professionalism, discretion, and attention to detail
  • Proven ability to work independently and maintain confidentiality

Technical Skills

  • Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, and Word
  • Experience coordinating virtual meetings, presentations, and executive reporting materials
  • Familiarity with expense management and administrative systems preferred

Preferred Qualifications

  • Experience supporting executives within a professional services, consulting, or public accounting environment
  • Strong project coordination and stakeholder management experience
