Role Overview
We are looking for a sharp, organized, and proactive Office Administrator to be the "engine room" of our commercial landscaping operations. This isn't just a desk job—you’ll be the vital link between our field crews, our high-profile commercial clients, and the management team.

Key Responsibilities
Your day-to-day will involve a mix of customer service, logistics, and financial support:

Client Coordination: Act as the first point of contact for property managers and commercial clients; schedule service calls and handle inquiries with professionalism.

Operational Support: Assist with crew scheduling, GPS tracking, and ensuring field teams have the work orders and site maps they need for the day.

Billing & AP/AR: Process invoices, track equipment expenses, and manage payroll data entry for seasonal and year-round staff.

Vendor Management: Order uniforms, safety gear, and office supplies; coordinate with mechanics for fleet maintenance records.

Documentation: Maintain digital and physical files for contracts, insurance certificates (COIs), and safety compliance records.
Qualifications & Skills

Experience: 2+ years in office administration (experience in construction, landscaping, or trades is a huge plus).

Tech Savvy: Proficiency in Microsoft Office (especially Excel) and experience with industry software (e.g., Aspire, LMN, or Jobber) or QuickBooks.

Communication: Exceptional verbal and written skills; ability to communicate effectively with both corporate clients and field laborers.

The "Landscaping Edge": Ability to handle the "seasonal rush" with a calm head and a sense of humor.

Bilingualism: Proficiency in Spanish is highly desirable but not required.
