Accounting and Payroll Specialist

In this role you will own the numbers that let pilots, mechanics, and dispatchers focus on flying, not paperwork.

Performance Objectives

• Process bi-weekly payroll for 80–150 employees (seasonal peaks included) with 100% on-time accuracy and zero uncorrected tax or garnishments errors.
• Close the books monthly within 10 business days, delivering variance analysis that flags cost overruns in fuel, maintenance, and charter operations before they hit cash flow.
• Reconcile all bank, credit-card, and intercompany accounts weekly; resolve discrepancies within 48 hours so flight operations never wait on funds.
• File federal, Alaska, and Canadian payroll and sales-tax returns on time; maintain audit-ready records that survive FAA, IRS, and DOT reviews without restatement.
• Automate at least two manual accounting or payroll processes per year (e.g., time-sheet import, vendor ACH) to cut processing time 20% while improving accuracy.
• Partner with operations to forecast seasonal cash needs and present a rolling 13-week cash-flow report that leadership uses for aircraft scheduling and charter pricing.

Environment & Resources

You report to the Controller and work alongside a two-person finance team in our Juneau office. Tools include QuickBooks Enterprise, ADP Workforce Now, Excel, and our flight-operations system. You will have authority to recommend process changes and a modest budget for software or training that improves accuracy or speed. Cross-functional support from dispatch, maintenance, and the CEO is the norm in this 100-person company.

Essential Qualifications

• 3+ years processing multi-state (or Alaska + Canada) payroll for 50+ employees, including garnishments, union or prevailing-wage rules, and year-end W-2/T4 filing.
• Hands-on month-end close experience in a service or transportation company; you have produced financials that operations actually used.
• Proven ability to reconcile high-volume bank and credit-card activity and explain variances in plain English to non-accountants.
• Working knowledge of QuickBooks and at least one payroll platform; you can train others and document procedures.
• Comfort working independently in a small, fast-moving office where the next weather delay or charter request can change priorities in minutes.
