Client Engagement & Legal Closing Specialist
Position Overview
The Client Engagement & Legal Closing Specialist is responsible for guiding qualified prospective clients through the consultation and retention process, helping them understand available legal services, answering questions, presenting fee agreements, and supporting the decision to retain the firm.
This role combines client consultation, relationship building, education, and consultative sales. The ideal candidate is confident, empathetic, professional, and highly skilled at listening and building trust with clients who may be navigating stressful or sensitive legal matters.
The successful candidate will provide a high-quality client experience while maintaining confidentiality, professionalism, and the firm's ethical standards.
Key Responsibilities
Client Consultations
- Conduct consultations with prospective clients by phone, virtually, and in person.
- Review client information and legal matters prior to scheduled consultations.
- Build rapport and establish trust through active listening and empathy.
- Understand prospective clients' goals, concerns, priorities, and expectations.
- Explain the firm's services, legal process, and next steps in a clear and professional manner.
- Present legal fees, payment options, and retainer agreements.
- Ensure prospective clients have a clear understanding of the services being offered.
Client Engagement & Retention
- Guide qualified prospective clients through the process of retaining the firm.
- Address questions, concerns, and objections professionally and ethically.
- Follow up with prospective clients who need additional time or information before making a decision.
- Maintain consistent and timely communication throughout the retention process.
- Build trust and confidence while creating a positive first impression of the firm.
- Support strong consultation-to-retainer conversion and client retention results.
Relationship Management
- Develop positive and professional relationships with prospective and new clients.
- Provide a personalized, high-touch client experience.
- Demonstrate empathy and professionalism when working with clients facing difficult circumstances.
- Maintain strict confidentiality when handling client information.
- Coordinate with attorneys and legal staff to ensure client needs are properly communicated and addressed.
- Ensure all required client documentation is completed accurately.
Legal Closing & Administrative Support
- Prepare and facilitate the execution of retainer and fee agreements.
- Collect required retainers and supporting documentation.
- Maintain accurate consultation records in CRM and case management systems.
- Document consultation notes, client concerns, follow-up activities, and outcomes.
- Track prospective client activity and follow-up requirements.
- Maintain accurate sales and consultation metrics.
- Ensure all client engagement activities follow established firm procedures.
Qualifications
Required Qualifications

3+ years of experience in legal consultative sales, client relations, admissions, financial services, professional services, or a similar client-facing role.
- Strong verbal and written communication skills.
- Demonstrated ability to build relationships and close high-value service engagements.
- Strong negotiation and objection-handling abilities.
- Excellent listening and interpersonal skills.
- High emotional intelligence and professional judgment.
- Strong organizational and time-management skills.
- Ability to handle confidential and sensitive information appropriately.

Preferred Qualifications
- Experience in family law or other legal services.
- Experience with Clio, Lawmatics, or similar CRM/case management systems.
- Previous experience in professional services or consultative sales.
- Bachelor's degree preferred but not required with relevant experience.
