Job Title: Admin / Vendor Coordinator (Backup CSR)

Role Overview

Proof Response Group is looking for a highly organized and detail-oriented Admin / Vendor Coordinator to support daily operations and vendor management.

 

This role is primarily focused on backend coordination and dispatch support, ensuring smooth communication between internal teams and vendors. As a backup CSR, you may also step in to assist with customer interactions when needed.

 

The goal of this position is to keep operations running efficiently while allowing Customer Service Representatives (CSRs) to stay fully focused on inbound calls and appointment conversion.

 

Key Responsibilities

  • Coordinate and assign vendors after inbound service calls
  • Track and monitor dispatches, call-outs, and new vendor requests
  • Maintain accurate and organized logs, including:
  • Vendor follow-ups
  • Vendor and service requests
  • Quote requests
  • Scheduling and dispatch timelines
  • Manage shared inboxes and handle internal/external email communication
  • Support client follow-ups, including payment reminders
  • Assist CSRs as a backup when needed (overflow or coverage)
  • Ensure timely coordination to prevent delays in service delivery

Qualifications

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Experience in admin support, coordination, dispatch, or customer service is a plus
  • Ability to work in a fast-paced, process-driven environment
  • High attention to detail and accountability
  • Comfortable using CRM tools, spreadsheets, and email platforms
  • Adaptable and willing to take on both non-voice and occasional voice tasks
