Job Overview

We’re looking for a detail-oriented and process-driven Contract and Grants Automation Specialist to streamline, manage, and optimize our contract and grant workflows. This role focuses on leveraging automation tools and systems to ensure efficiency, compliance, and accuracy throughout the contract lifecycle and grants management process. You will be responsible for building scalable solutions, maintaining accurate records, and supporting both internal teams and external partners to ensure seamless operations.

This position is ideal for someone with strong analytical skills, familiarity with contract/grant processes, and hands-on experience in workflow automation platforms.


Key Responsibilities

  • Design, implement, and manage automated workflows for contract and grant processes using platforms such as GHL, Salesforce, or equivalent tools
  • Ensure compliance with internal policies, legal requirements, and funding guidelines
  • Collaborate with cross-functional teams (Legal, Finance, Operations, and Program teams) to align processes and resolve issues
  • Maintain accurate and up-to-date records of contracts, amendments, and grant documentation
  • Monitor system performance and troubleshoot automation errors or bottlenecks
  • Generate and maintain reports on contract and grant status, renewals, expirations, and compliance metrics
  • Provide training and support to internal users on automation tools and processes
  • Continuously identify opportunities to improve efficiency, scalability, and accuracy in contract and grant administration


Requirements

Qualifications:

  • Degree in Business Administration, Law, Public Administration, Information Systems, or a related field
  • Excellent English, both written and spoken
  • Detail-oriented with a strong compliance mindset
  • Strong proficiency in Microsoft Word and PDF formatting tools
  • Comfortable using AI tools to draft standard sections, reports, and checklists
  • 2+ years of experience in contracts administration, grants management, or a related role
  • Experience working with automation platforms (e.g., GoHighLevel (GHL), Salesforce, Airtable, or equivalent low-code/no-code tools)
  • Strong understanding of contract structures, compliance requirements, and grant guidelines
  • Excellent organizational skills with attention to detail and accuracy
  • Strong analytical, problem-solving, and documentation skills
  • Effective communication skills, both written and verbal


Preferred Qualifications:

  • Nice to have: experience with Zapier, Make, Google Apps Script, or basic Python
  • Experience with legal or finance systems related to contracts and grants
  • Familiarity with CRM and project management systems
  • Knowledge of data security, compliance, and reporting standards
  • Advanced Excel or Google Sheets skills for data tracking and reporting
