Job Title: Legal Assistant (Wills, Estates & Probate)

Role Summary
We are looking for a highly disciplined Legal Assistant to join a specialized legal practice. This is a role for a professional who thrives on "the small things." You will be the primary point of contact for clients beginning their estate planning journey, ensuring that every piece of information is gathered correctly and every communication is polished.
We are looking for a partner we can trust implicitly with his calendar and client intake. If you pride yourself on a "zero-typo" philosophy and have a background in Wills and Estates, this role offers a path to increased responsibility and hours.
Key Responsibilities
1. Wills & Estates Intake & Setup
- Lead the initial "discovery" phase for new clients, ensuring all life-stage information, asset details, and family structures are captured accurately.
- Draft and prepare initial templates for Wills, Powers of Attorney, and Health Care Directives for attorney review.
- Maintain a "Client Vault" of original documents, ensuring digital and physical filing systems are synchronized.
2. Flawless Client Liaison & Scheduling

Precision Communication: Draft, proofread, and send scheduling emails and follow-ups. Note: This requires high emotional intelligence and an absolute commitment to grammar and tone.

Calendar Mastery: Manage the attorney’s calendar across multiple time zones (if applicable), ensuring no overlaps and providing "buffer time" for complex consultations.
- Confirm all appointments 24–48 hours in advance and ensure clients have all necessary intake forms completed prior to meetings.
3. Financial Administration & Bookkeeping
- Capture and record billable hours and case-related expenses.
- Process client invoices and track payments via legal billing software (e.g., Clio, MyCase, or QuickBooks Online).
- Assist with basic 3-way reconciliation for trust accounts to ensure compliance.
Required Qualifications & Skills

Experience: 2+ years of experience specifically in a Wills & Estates or Probate legal setting.

Attention to Detail: You must be able to demonstrate a track record of sending error-free client correspondence. An "editor’s eye" is essential.

Technical Proficiency: Comfortable with case management software and G-Suite/Microsoft 365. Experience with bookkeeping tools is a significant plus.

Discretion: Ability to handle sensitive family and financial information with the utmost confidentiality.
