Hybrid schedule - M-W onsite, TH & F remote

Office located in Downtown Houston


PROJECT COORDINATOR

Perform Project Coordination activities necessary to assist Project Management in the conduct

of a broad range of material and service-related transactions necessary to accurately and timely

execute projects across all business units.

 

Responsibilities include but are not limited to:

REQUESTS FOR MATERIAL

• Analyze and review Requisition for Material (RFM) forms and related documentation to

ensure all required information and bidding requirements are satisfied. Work with the

Project Manager to resolve any identified issues.

• Process Requisitions for Material forms into Lawson.

• Submit JIRA tickets for all material requests sent to Procurement for processing.

• Provide ad-hoc assistance to Project Managers in filing out Requisition for Material

Forms.

 

REQUESTS FOR SERVICES

• Analyze and review Requisition for Services (RFS) forms and related documentation to

ensure all required information and bidding requirements are satisfied. Work with the

Project Manager to resolve any identified issues.

• Process Requisition for Services forms into Lawson.

• Submit JIRA tickets for all service requests sent to Procurement for processing.

• Provide ad-hoc assistance to Project Managers in filing out Requisition for Services

Forms.

 

BID PACKAGES

• Assist Project Management with Bid Package reviews to ensure all necessary information

and documentation is included prior to submitting to Procurement.

INVOICE PROCESSING

• Provide support to Project Management by processing invoices in a timely manner to aid

in meeting project timelines.

• Responsible for accurately entering all invoices and other payment requests into the

payables workflow system (PAWS II and Ariba).

• Review invoices to ensure all contracted construction inspection rates and requirements

are accurate and fully supported.

• Work closely with vendors and contract administrators to resolve billing inaccuracies.

• Provide support for setting up new Vendors in the Ariba Vendor Maintenance System as

well as assisting with other required changes to ensure invoices are paid.

• Assist Project Managers by receiving material into Lawson as well as providing other adhoc

material related support.

• Provide ad-hoc assistance with accounting issues on invoices.

 

MISCELLANEOUS REQUIREMENTS

• Provide ad-hoc vendor related support such as providing support to set up new Vendors

in the Ariba Vendor Maintenance System or checking ISNetworld for contractor grades.

• Train new Project Managers on Project Management procedures and processes.

• Provide inspection support to Project Management including tracking inspector use,

testing compliance, and performance.

Educational Requirements (minimal requirements and any additional education or training that

would be helpful):

• Undergraduate (Bachelor level) degree from an accredited institution is preferred

(Engineering is preferred but not required).

Job Requirements (specific experience, skills, knowledge, certifications, licenses, working

conditions):

• Must be able to understand the needs of the business unit(s) for which work is being

performed.

• Intermediate to advanced proficiency level in Microsoft Office applications, including but

not limited to Outlook, Word, Excel, PowerPoint, and other Office Suite general products.

• Strong analytical skills and logical thought processes.

• Ability to organize and prioritize daily work.

• Must be able to manage multiple tasks successfully and simultaneously, and work with

minimal direct supervision.

• Must be able to work with a team, take directions from Supervision, high degree of

attention to details, follow work rules, and adhere to established work schedules.

• Ability to identify and establish expectations in an employee/employer relationship

(subordinate/manager).

• Solid leadership, communication, motivation and interpersonal skills, and the ability to

manage assignments that will include working with individuals with varying disciplines,

backgrounds, and experience levels.

• Electively prioritize workload between several projects including the ability to take on

new projects and shift priorities on short notice.


Preferred Experience, Skills, and Knowledge (above the min required; not required, but

advantageous in this position):

• Possess basic understanding of upstream, midstream, and downstream projects.

• Direct work experience in energy/construction business and/or coordination project

work, projects, and project personnel.

• Position may be filled at various levels depending on the experience and job skills of

successful candidate.
