Recruiting Coordinator

We’re looking for a proactive and organized Recruiting Coordinator to support hiring efforts across North America. In this role, you’ll work closely with HR partners, hiring managers, and external recruiting firms to coordinate interviews, manage job postings, support onboarding, and ensure every candidate has a professional, timely, and engaging experience. What You’ll Do
Recruiting Coordination
- Partner with HR, hiring managers, and external recruiters to support end-to-end hiring for roles across corporate, operations, and technical teams.
- Post and maintain job openings on the company’s ATS and job boards (e.g., LinkedIn, Indeed, university sites).
- Assist with resume screening and candidate routing based on defined qualifications.
- Schedule interviews, manage recruiting project meetings, and ensure smooth communication across all stakeholders.
- Track interview feedback and candidate progress to keep systems and reports accurate and up to date.
Candidate Experience
- Serve as the main point of contact for candidates throughout the interview process.
- Ensure all communication is professional, timely, and aligned with company values.
- Coordinate logistics for on-site interviews and candidate travel, including expense reimbursements when applicable.
Onboarding Support
- Prepare and distribute offer letters and onboarding packets.
- Partner with HR and IT teams to ensure a seamless transition from candidate to employee.
Recruiting Operations & Reporting
- Help standardize recruiting documentation, templates, and processes across departments.
- Prepare recruiting metrics and activity reports for leadership.
- Manage recruiting-related invoices, contracts, and budget tracking as needed.
Continuous Improvement
- Identify opportunities to streamline workflows and enhance candidate experience.
- Support employer branding initiatives and recruiting process improvements.
- Help document best practices to ensure hiring consistency and efficiency across teams.
What You Bring
- 3+ years of experience in recruiting coordination, HR, or a related administrative role.
- Excellent organizational and time management skills with the ability to handle multiple priorities.
- Strong communication and interpersonal skills; professional and people-oriented.
- Meticulous attention to detail and a proactive, problem-solving mindset.
- Comfortable working both independently and collaboratively in a fast-paced environment.
- Proficiency with Microsoft Office and familiarity with Applicant Tracking Systems (ATS).
- Ability to handle confidential information with discretion and good judgment.
- Bachelor’s degree in business, HR, or a related field preferred.
- Authorization to work in the United States (no visa sponsorship available).
