Bookings Administrator – Recruitment Team (Healthcare Staffing)

About the Role

As a Bookings Administrator, you’ll be a central point of contact between our candidates, clients, and internal recruitment teams. You’ll ensure shifts are filled promptly, compliance is maintained, and all administrative processes run smoothly. This role is perfect for someone who thrives in a structured environment, enjoys multitasking, and loves bringing order to a busy desk.

Key Responsibilities

  • Manage daily and weekly rotas, ensuring healthcare shifts are filled efficiently across supported services.
  • Liaise with support workers, nurses, and clients to confirm availability, cancellations, and new bookings.
  • Update internal systems with shift confirmations, compliance status, timesheets, and candidate information.
  • Work closely with the recruitment team to ensure all booked candidates meet compliance and safeguarding requirements.
  • Provide high-quality customer service via phone, email, and internal messaging.
  • Troubleshoot last-minute staffing issues and provide reactive solutions.
  • Maintain accurate and up-to-date records of client requirements and workforce availability.
  • Support general administrative tasks such as documentation uploads, ID verification, and reference tracking.

What We’re Looking For

  • Experience in recruitment, healthcare scheduling, customer service, or a fast-paced admin role.
  • Strong organisational skills with excellent attention to detail.
  • Confident communicator who can build rapport quickly and remain calm under pressure.
  • Ability to multitask and prioritise competing deadlines.
  • Comfortable working with rostering systems, CRMs, or similar platforms.
  • A proactive, solution-focused attitude.
