Role: Relationship & Administration Support
Full time: Times 8->5 UK (9 –> 6 / 10 –> 7pm SA TIME)

We are a growing and dynamic alternative provision supporting young people with additional needs through personalised, 1:1 Education. Our work takes place in homes and community settings, creating flexible learning environments for young people with special needs.
As our provision continues to expand rapidly, we are looking for a highly organised, proactive, and personable administrator to join our team. This is a varied, fast-paced, and rewarding role with real scope to grow alongside the organisation.
The Role
This is not a typical admin job. You will play a key role in the smooth running of our provision, acting as a central point of coordination between tutors, families, and commissioners.
You’ll need to be confident managing multiple priorities, communicating with different stakeholders, and ensuring high standards of record-keeping and compliance.
Key Responsibilities
Attendance & Monitoring
• Track and record daily pupil attendance across multiple tutors and pupils
• Follow up on absences with parents/carers
• Identify patterns or concerns and escalate where needed
• Ensure the attendance system aligns with invoicing
Reporting & Documentation
• Collate and format weekly tutor reports
• Gather reports for commissioners and schools
Maintain accurate pupil records and documentation
• Support EHCP-related reporting where required
• Ensure baseline assessments, curriculum maps and individual learning plans have been received
Communication & Coordination
• Act as a key contact for parents/carers to help where needed
• Carry out regular check-ins to ensure sessions are running smoothly
• Liaise with tutors regarding schedules, updates, and issues
• Support communication between all stakeholders
General Administration
• Manage schedules, session logs, and timetables
• Ensure compliance paperwork is complete and up to date
• Support onboarding of new pupils and staff
• Maintain organised digital filing systems
Operational Support
• Assist with the day-to-day running of the provision
• Support safeguarding and incident reporting processes
• Help improve systems and processes as the team grows
