Purpose of the Role:

 

To provide administrative, coordination and quality support across safeguarding, investigations, feedback, training and governance functions, ensuring information is recorded accurately, actions are progressed and stakeholders are communicated with effectively.

 

 

Key responsibilities:

 

Safeguarding, Concerns & Investigation Support

  • Receive and log safeguarding concerns, clinical/education concerns, complaints, incidents and compliments.
  • Maintain safeguarding, clinical/education concerns, complaints and investigations trackers and databases.
  • Assist with gathering statements, evidence and documentation required for investigations.
  • Coordinate safeguarding meetings, investigation meetings, reflective supervision sessions for the team.
  • Prepare documentation required for safeguarding referrals and external investigations.
  • Monitor investigation actions and ensure deadlines are met.
  • Escalate concerns promptly to the Feedback & Safeguarding Manager

 

Feedback & Quality Monitoring

  • Coordinate the collection of service user, family, staff and commissioner feedback.
  • Analyse feedback responses and produce monthly summary reports.
  • Calculate and monitor feedback trends, satisfaction scores and key themes.
  • Identify recurring concerns and areas for improvement.
  • Support the development and monitoring of quality improvement action plans.
  • Assist with audits and governance reporting.

 

Training Coordination

  • Coordinate training days to be delivered by the team.
  • Monitor training compliance and issue reminders where required.
  • Maintain training records, competency records and certification logs.
  • Support the administration of e-learning programmes and assessments.

 

General Responsibilities

  • Maintain confidentiality and professionalism at all times.
  • Work in accordance with company policies, safeguarding procedures and regulatory requirements.
  • Promote continuous improvement and high standards of care and education across the organisation.
  • Undertake any other duties appropriate to the role.

 

Essential Skills & Experience

  • Excellent written and verbal communication skills.
  • Strong organisational and administrative abilities.
  • High level of attention to detail.
  • Ability to handle sensitive and confidential information.
  • Good IT skills including Microsoft Office.
  • Ability to manage multiple workstreams and deadlines.

 

Desirable

  • Experience within health, social care or education settings.
  • Understanding of safeguarding processes.
  • Experience supporting investigations, complaints or quality assurance activities.
  • Knowledge of CQC, Ofsted or equivalent regulatory frameworks.
  • Experience working remotely within an international team.
