Job Title: Administrative Assistant (Hybrid)
Location: HYBRID, 3 days onsite, Redmond, WA
Rate: $28-$30 / hour
Duration: Through 12/31/26 - extension expected based on budget and performance
This role provides high-level administrative and operational support to senior leaders, with a primary focus on calendar management, coordination, and executive support activities. The position plays a critical role in ensuring smooth day-to-day operations, supporting distributed leadership across time zones, and maintaining efficient office and team processes.
Key Responsibilities
- Manage complex calendars for senior leaders, including scheduling, prioritization, and conflict resolution across global time zones
- Coordinate recurring meetings, leadership sessions, and cross-functional engagements
- Support travel logistics and expense management, ensuring timely and accurate processing
- Plan and execute team events, including onsite coordination and logistics support
- Provide onboarding support for new team members, including coordination of access, equipment, and resources
- Oversee facility-related needs, maintaining organized and functional shared workspaces
- Manage equipment and asset logistics, including intake and tracking of returned devices and maintenance of asset inventory
- Procure goods and services such as office supplies, computer equipment, and vendor-related items
- Act as a primary point of contact for internal teams and external partners
- Deliver general administrative support and contribute to special projects as assigned
Performance Measurement
- Performance is evaluated based on task completion, timeliness, and quality of deliverables
- Effectiveness in managing calendars, logistics, and administrative workflows
- Ability to support leadership needs with minimal oversight while maintaining high accuracy

Required Skills & Qualifications
Education
- Relevant education or equivalent practical experience in business administration or a related field
Experience
- Demonstrated executive administrative support experience in fast-paced, enterprise environments
- Experience supporting global teams and managing cross-time-zone scheduling
- Proven ability to operate independently while aligning with leadership direction
Core Skills
- Advanced calendar and time management across distributed teams
- Proficiency in Microsoft 365 ecosystem, including Outlook, Teams, and Copilot capabilities
- Strong organizational and prioritization skills with attention to detail
- Effective communication and stakeholder coordination across multiple levels
- Experience with expense management, procurement processes, and operational support
- Ability to manage competing priorities and adapt to changing business needs
Candidate Requirements
- Proven track record of delivering executive-level administrative support in dynamic environments
- Strong self-management skills with the ability to proactively identify and execute required tasks
- Accuracy and integrity in professional documentation and communication
- Experience supporting multiple leaders simultaneously is highly preferred
Assessment Process
