Job Title: Executive Administrative Assistant

Location: 100% remote - PST hours required

Rate: $40-$42/ hour

Duration: Through 6/30/26 - extension possible


Summary

The Executive Administrative Assistant provides high-level administrative support to senior leadership, acting as an information and communication manager for the office. This role is critical for ensuring operational efficiency through calendar management, workflow coordination, and document handling. The position supports organizational success by enabling executives to focus on strategic priorities.


Typical Day in the Role

  • Coordinate calendars and manage meeting logistics.
  • Prepare agendas, reports, and presentations for executive meetings.
  • Respond to information requests and maintain organized document systems.
  • Track follow-up actions and ensure timely completion of tasks.
  • Communicate professionally with internal teams and external clients.


Responsibilities

  • Manage calendars, schedule meetings, and coordinate logistics to ensure accuracy and timeliness.
  • Prepare and organize agendas, reports, memos, financial statements, and other documentation.
  • Maintain records management systems and retrieve corporate documents as needed.
  • Analyze incoming communications and prioritize distribution based on significance.
  • Oversee task and workflow coordination, ensuring deadlines and deliverables are met.
  • Utilize collaboration tools and productivity applications to streamline processes.

Measurable Outcomes

  • Calendar & Meeting Management: Zero scheduling conflicts; timely preparation of agendas and meeting materials.
  • Task & Workflow Coordination: 95% on-time completion of assigned tasks and responsiveness to urgent requests.
  • Document Accuracy: 100% compliance with organizational standards for confidentiality and formatting.
  • Communication Effectiveness: Positive feedback from internal teams and external stakeholders.


Required Qualifications

  • Education: High school diploma or GED required.
  • Experience: 5–7 years of administrative support experience, including executive-level support.

Core Skills:

  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Exceptional verbal and written communication skills.
  • Ability to multitask, prioritize, and maintain confidentiality.
  • Customer service and interpersonal skills.
  • Independent time management and organizational skills.


Preferred Qualifications

  • Prior experience at similar enterprise technology-driven organizations.
  • Familiarity with collaboration platforms and scheduling tools.
