Job Title: Events Coordinator - Employee Experience

Location: Onsite 4-5x/ week - Redmond, WA

Rate: $32-$34/ hour

Duration: Through 6/30/26 - extension expected, but based on budget


Purpose of the Role

The Events Coordinator supports employee experience initiatives for the Redmond campus and global teams. This role ensures seamless execution of onsite events, meetings, and engagement activities while maintaining high standards for logistics, communication, and operational excellence. The position directly contributes to creating a positive, efficient, and engaging workplace environment.


Key Responsibilities


Employee Experience and Event Management

  • Lead planning and execution of all MAI team employee events.
  • Strategize and manage logistics for Redmond MAI Meetups, hosting approximately 2,500 attendees every seven to eight weeks.
  • Coordinate weekly engagement events including large working rooms, catering, social programming, and pop up experiences.
  • Build and manage the onsite experience including room booking, room setup, catering coordination, AV support, and onsite communications.


Operational and Administrative Support

  • Perform general office duties including ordering supplies and maintaining records management systems.
  • Prepare invoices, reports, memos, letters, financial documents, and other operational materials.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort, and route incoming mail, faxes, and email correspondence.
  • Draft professional responses to routine inquiries.


Cross Functional Support

  • Provide logistical coverage for one time or ongoing “super group” requests that require dedicated conference space management.
  • Pivot daily to evolving requirements; drive solutions independently with a self starter approach.


Performance Measurement

  • Effective time management and adherence to deadlines.
  • Ability to remain on budget.
  • Stakeholder feedback and satisfaction.
  • Accuracy, completeness, and flawless event execution.

Required Skills and Qualifications

Education

  • High school diploma or GED required.

Experience

  • Event Management: 8+ years
  • Program Management: 8+ years
  • Executive Management Support: 5+ years


Core Skills

  • Strong verbal and written communication capabilities.
  • Ability to manage time independently and prioritize dynamic workloads.
  • High attention to detail with strong confidentiality practices.
  • Customer service orientation with strong interpersonal skills.
  • Proficiency with Microsoft Word, Excel, and PowerPoint.
  • Demonstrated ability to adapt to changing requirements and deliver flawless execution.


Candidate Requirements

  • Strong onsite event planning experience.
  • Ability to remain organized in fast moving environments.
  • Engaging communication style and polished professional presence.
  • Must demonstrate stable employment history; frequent job changes or low tenure are disqualifying.
  • No specific certifications required.


Assessment Process
