Job Title: Administrative Coordinator – AI Organization Support

Location: Redmond, WA (Hybrid: ~3 days onsite per week)

Rate: $28-30/ hour

Duration: Through 6/30/26 (extension possible)


Summary

This role provides essential administrative and logistical support for the AI organization. The position ensures smooth onsite operations by managing space, equipment, and morale activities, contributing directly to the success of return-to-office (RTO) initiatives. The role is critical for maintaining operational efficiency and fostering a collaborative environment within a cutting-edge AI team.


Responsibilities

  • Coordinate onsite logistics, including space audits, desk setup, and equipment management.
  • Support RTO activities and ensure readiness for February transition.
  • Assemble and distribute new-hire kits; manage storage and inventory.
  • Organize morale events and provide onsite support for team activities.
  • Respond to ad-hoc onsite requests and execute tasks independently with minimal supervision.
  • Maintain compliance with organizational policies and assist with department operations as needed.

Measurable Outcomes

  • Successful completion of RTO setup and readiness by February.
  • Timely and accurate execution of space audits and equipment management.
  • Positive feedback from team members on event coordination and onsite support.
  • Demonstrated ability to manage tasks autonomously and meet deadlines consistently.



Required Qualifications

  • Education: High school diploma or equivalent; college coursework preferred.
  • Experience: 1–3 years in administrative support within a fast-paced environment.

Technical Skills:

  • Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneNote, Word).
  • Experience with department operational support (financial, personnel, facility purchasing).
  • Meeting and event coordination (excluding travel).

Soft Skills: Strong communication, organizational skills, attention to detail, and customer service orientation. Ability to work independently and collaborate with diverse teams.



Preferred Qualifications

  • Prior experience supporting teams within enterprise technology organizations
  • Exposure to AI or technology-focused organizations.
  • Ability to manage multiple priorities in a hybrid work environment.
